Role Description The purpose of this position is to provide administrative support to the assigned client. The duties in this position may range from meeting preparation, internal and external correspondence, report preparation, document and word processing assistance, and many other administrative duties as requested. This position works up to 40 hours weekly on a specific assigned shift. The employee is responsible for accurate and timely completion of the principal responsibilities listed below. - Assisting with all administrative requests from the specific client. - Accurately maintaining all personnel records, both electronic and hard copy. - Assisting with gathering requested information from the client, creating PDFs, and emailing documents as necessary. - Providing administrative support that includes weekly report preparation and maintaining records associated with all requests and inquiries for each report. - Working with the client to post rulings and other information on the client website and/or document management system. - Developing and entering meeting minutes into the client systems, requiring training on client-specific software. - Regular internal communications, including email and other professional correspondence. - Creating folders and assembling documents related to the internal workings of the HR systems. - Completion of safety records and aligning records with HR files as needed. - Tying meeting minutes to other HR records as needed. - Weekly or daily reporting requirements provided by client instruction. - Secretarial correspondence, including all letters and legal correspondence. - Recording compliance and maintenance of confidential information. - Answering customer phones and responding to customer emails. - Monitoring email inbox for incoming projects and setting up projects in workflow management tool. - Maintaining and supporting ISO standards through documentation and compliance with security standards. Role Summary The purpose of this position is to provide uniform and equitable allocation of available manpower for available work in accordance with Allocation Rules and special directives of the Sub-Steering Committee and/or the Area Managers. The duties in this position may range from resource allocation, reports generation and time tracking. This part-time position is for someone looking to work a few weekends a month and be a back-up/backfill. Minimum 1 weekend a month. The employee is responsible for accurate and timely completion of the principal responsibilities listed below. Responsibilities and Duties - Daily phone contact with client and jointly operated dispatch halls. - Maintaining professional and cooperative working relationships with all Union dispatchers and client in the Port. - Preparing and completing daily allocation worksheets for each shift, office manpower report, and weekly Coast manpower reports. - Running and transmitting Foreman check-in requests. - Updating work summary log and record all vessels, berth, companies, arrival and departure times, and gang utilization for all shifts on each vessel. - Ensuring industry Allocation Rules are properly and uniformly applied and enforced, ensuring that cuts to vessels are appropriately made in the event of manpower shortages - Preparing and authorizing weekly payrolls from joint dispatchers. - Maintaining daily logs and records, including transcribing the joint dispatch hall tape twice per day. - Maintaining and updating Excel spreadsheets. - Occasionally participating in industry meetings. - Filing and maintaining records. - Working to support Administrative Specialists with other duties as assigned. - Maintaining and supporting ISO standards through creation and updating of documentation and compliance with all security standards. - Regular internal communications to include e-mail and other professional correspondence. A high degree of accuracy is required for communication between the client and Integreon offices. - Weekly or daily reporting requirements provided by client instruction. Role Summary Lead and manage a team delivering commercial contract services, while overseeing project execution, stakeholder communication, and performance metrics in a fast-paced, client-focused environment. Responsibilities and Duties - Client-facing role; responsible for managing the entire lifecycle of a contracts project - Communicate with internal and external stakeholders about project progress as well as risks, issues, and mitigation plans - Manage a team of attorneys and paralegals (including training, ensuring that team meets KPIs/SLAs, acting as an escalation point for day-to-day questions) - Identify and implement contracting process improvement measures - Manage teams and mentor junior attorneys in reviewing, drafting and negotiating NDAs, Statements of Work, Amendments, Master Agreements and other commercial contract types - Effectively communicate with Client stakeholders and serve as an escalation point for client questions - Accurately reporting and collecting performance data such as turnaround time, volumes, CSAT, KPIs/SLAs - Conduct resource planning - Mentor junior team members - Performing quality checks on outputs from team and ensure that processes are being followed - Perform other tasks as assigned Required Skills/Abilities - Must have substantial contract drafting experience - Must have client-facing experience - Previous experience drafting Statements of Work, Amendments, Master Agreements and other commercial contract types a plus - Must have experience managing a team of attorneys - Must have experience reporting metrics and performance data - Six Sigma or Project Management training is a plus - Excellent analytical, writing, and oral communication skills - Must be able to quickly process and analyze information and be able to use it to make decisions and solve problems - Proficiency in Excel and PowerPoint - Possession of an outstanding customer service attitude - Exceptional attention to detail Education and Experience - 8+ years of commercial contracting experience - Bachelor’s degree required - JD preferred, contracting experience required - PMP or PRINCE2 certification a plus Benefits Health, vision, dental, 401k, PTO and tuition discount Company Information Integreon is a trusted, global provider of award-winning legal and business solutions to leading law firms, corporations, and professional services firms. Role Description The role will be responsible for providing contract drafting and negotiation services for one of the largest multinational industrial companies in the US. We are looking for someone with at least two to four years of experience in contract drafting, review, and negotiation.
