Operations Manager

• Monitor employee attendance by reviewing daily timesheets, ensuring accurate clock-ins, and resolving timekeeping discrepancies • Create, update, and maintain job records within the company's job management system • Process employee reimbursements and expense requests accurately and in a timely manner • Assist with employee onboarding, including collecting employment documentation, W-9 forms, and coordinating field staff • Review and process payroll accurately and on schedule • Maintain payroll records and upload payroll data into QuickBooks as needed • Provide professional customer service by addressing inquiries and resolving issues promptly • Process customer payments and respond to billing and invoice inquiries • Prepare, issue, and follow up on invoices to ensure timely collections • Communicate with the Department of Buildings (DOB), Con Edison, and other regulatory agencies regarding permits, inspections, approvals, and compliance requirements • Prepare and process change orders, revised proposals, and related invoices for client-requested modifications • Prepare and send accurate estimates and quotations for prospective customers • Perform additional administrative and operational duties as assigned • Perform other duties related to the position as assigned

Job Requirements

  • Proficient level of English (written and spoken)
  • Excellent communication and problem-solving skills
  • Willingness to learn the company's payroll software
  • Experience with Monday.com or another CRM/project management system is a strong plus
  • Basic QuickBooks knowledge is a strong plus
  • Strong leadership and follow-up abilities
  • Previous experience as an Operations Manager or in a similar operations role
  • Comfortable handling payroll coordination, employee management, and customer service
  • Excellent organizational and multitasking skills
  • Highly responsible, dependable, proactive and professional demeanor
  • Strong attention to detail and ability to manage multiple tasks in a fast-paced environment
  • Strong problem-solving skills with the ability to work independently
  • Proficiency with Microsoft Office (Word, Excel, Outlook), and standard business tools (email, spreadsheets, document management)
  • Out-of-the-box thinker, highly adaptable, reliable, self-motivated, and confident approach
  • Ability to quickly learn new systems, software, and workflows
  • Ability to understand and follow established processes accurately with minimal supervision
  • Ability to work U.S. Eastern Time (New York) business hours and adapt to business needs

Role Description Smartsheet is looking for a Partner Operations Specialist to support the sales teams throughout the sales cycle.
