Role Description AUIB is seeking an organized and enthusiastic Event Coordinator to support the successful planning and execution of a wide range of university events that enhance student engagement and strengthen the institution's brand. This role is ideal for a proactive professional who thrives in a fast-paced environment and enjoys creating exceptional event experiences. - Plan and Coordinate Events: Organize academic, cultural, and institutional events from concept through execution. - Manage Event Logistics: Coordinate vendors, catering, audiovisual services, venue setup, budgets, and timelines. - Collaborate with Stakeholders: Work closely with university departments, leadership, and external partners to deliver successful events. - Support Guest Experience: Welcome VIPs and guests while ensuring professional hospitality and smooth event operations. - Evaluate and Improve Events: Collect feedback, prepare reports, and recommend improvements for future events. Qualifications - Excellent organizational and multitasking skills. - Strong communication and interpersonal abilities. - Customer-focused with exceptional hospitality skills. - Proactive problem-solving and time management. - Ability to work effectively under pressure and meet deadlines. Requirements - Required Education: Bachelor's degree in Event Management, Hospitality Management, Business Administration, Marketing, Communications, or a related field. - Years of Relevant Experience: Minimum 3 years of professional experience coordinating events, preferably within higher education or institutional environments. - Specific Skills or Expertise: - Event planning and coordination. - Vendor and budget management. - Microsoft Office and reporting tools. - Event management software. - Project coordination. - Additional Certifications: Certification in Event Management, Hospitality, or Project Management is preferred. - Personal Attributes: - Organized and dependable. - Service-oriented. - Team player. This end-to-end event planning and execution role includes: - Lead the planning and execution of in-person or virtual meetings and events, including post-event reporting, reconciliation, and lessons learned. - Serve as the central point of accountability for assigned events, including timelines, risks, dependencies, and decision tracking. - Lead core planning calls with cross-functional stakeholders and ensure alignment across teams. - Partner with business owners to develop detailed event plans, budgets, and delivery approaches. - Manage budgets in accordance with policy guidelines, including invoice reconciliation and post-event financial recaps. - Source, negotiate, and coordinate with venues, audiovisual providers, decorators, and other key vendors. - Collaborate closely with internal and external stakeholders to ensure event success. - Execute events onsite with a strong focus on attendee experience, service excellence, and issue resolution. - Strong event risk mitigation planning. - Ensure seamless on-site execution with a focus on customer satisfaction and attendee experience. - Design thoughtful event experiences while responding to attendee needs and inquiries. - Apply insights and learnings to continuously improve future events and operational processes.
