Role Description The People Operations Specialist supports the continual improvement of P&O systems, programs, policies and procedures through departmental projects that support the P&O strategy. This role is a subject matter expert in P&O systems and operations who collaborates with cross-functional teams to drive innovation and efficiency in delivering P&O services and technology. Essential Duties and Responsibilities - Participate in special projects related to people operations, data and programs, acting as a cross-functional HRIS expert by participating in or leading project meetings, analyzing impacts, auditing, testing, assessing risk, and reviewing results to reduce errors. - Co-lead change management delivery for projects and programs through facilitation of training and the development of reference guides, documentation, announcements, etc. - Drive continuous improvement initiatives by identifying gaps and implementing scalable solutions through recommending new approaches, policies and procedures. - Co-lead the development of processes and procedures, creating efficiencies and cost savings while analyzing trends in errors, possible implications, and improvements within the team and interactions with other P&O teams and functions. - Lead the review, testing and implementation of changes to HRIS that are cascaded through the vendor, business unit partners, or through regression testing. Ensuring any potential risks are identified and resolved and documenting clear mitigation strategies. - Conduct assessments of processes using flowcharts and analytical tools to document and help identify gaps, inefficiencies, bottlenecks, and areas for improvement which can be addressed through the use of technology to create a better Associate experience. - Act as Data subject matter expert, including establishing and optimizing recurring reports, conduct data checks, facilitate audits and partner with cross functional teams to establish dashboards, metrics, and ensure data integrity. - Deliver on new HRIS needs from start through execution by gathering and documenting requirements, engaging stakeholders, executing testing plans, and supporting change management. - Responsible to oversee and process large scale transactions in Workday, including but not limited to: new hires, terminations, job changes, compensation changes, OD and integrations. - Provide 2nd tier system support by troubleshooting issues and providing resolutions in a timely manner, escalating to next tiers as appropriate. - Manage security groups and act as a P&O data steward, ensuring compliance with the Mars data privacy guidelines and routine audits. - Support the P&O team in establishing best practices and procedures where dependencies are clear and risks are mitigated through continual systems and operating training. - Collaborate with cross-functional teams on process, application, or feature enhancements. - May be asked to participate in enterprise initiatives, special projects, and other duties as assigned. Qualifications - Bachelor’s degree in HR Management, Business Administration or related field preferred. - 4+ years’ of experience in HR Operations, HRIS and/or HR Shared Services preferred. - Excellent verbal and written communication skills required; presentation skills preferred. - Proficient with spreadsheets, HR reporting, and performing data integrity checks in Excel. - Outstanding organizational skills; including the ability to effectively prioritize and meet deadlines, as well as multi-task in a fast-paced environment. Knowledge, Skills and Abilities - Strong attention to detail. - Excellent project management and time management skills with an ability to efficiently manage multiple programs, projects, and tasks; highly organized with a systematic approach to accomplishing project deliverables and measuring success tied to business results and employee experience. - Demonstrated experience using various HRIS, Workday preferred. - Demonstrated ability to identify process improvement opportunities and support implementation of scalable solutions. - Experience from working with implementation of integrations, overall understanding of interfaces and integration methodologies. - Problem solving and root cause identification skills. - Customer service focus. - Proficiency with MS Office including Outlook, Word, Excel and PowerPoint. Ability to prepare ad-hoc reports. Travel Will there be notable travel in this position? No Working Conditions The associate is regularly required to apply manual dexterity, including hand/wrist flexibility, for computer keyboarding. The associate frequently is required to sit for extended periods of time, stand, walk, and reach with hands and arms. The associate is frequently required to hear and speak to use the telephone, make presentations, and communicate with people in an office or virtual environment. The associate is occasionally required to sit and stoop, bend, kneel, or crouch. The associate must occasionally lift and/or move up to 15 pounds. The associate will primarily work in a typical office environment or a remote home office. The noise level in the work environment is usually moderate. The associate will be required to use a computer, spreadsheets, database management, email, video conferencing, and the Internet. The associate is frequently required to use a calculator; fax, copy machine, and phone system.
