Construction Project Specialist

• Coordinate weekly touchbase meetings for active states and facilitate communication. • Maintain construction project data and ensure information flows from the field into reporting tools. • Capture detailed meeting minutes and action items in real time during calls. • Follow up with site managers to collect missing information. • Update the construction project tracker with current status and flags after each meeting. • Manage the construction team's meeting calendar and track action items assigned during meetings.
Job Requirements
- Three years of experience in project coordination, construction administration, or a similar support role
- Strong organizational skills with the ability to manage multiple concurrent workstreams across different sites and time zones.
- Proficiency with project tracking tools (Smartsheet, Excel, or similar platforms) and virtual meeting platforms (Teams, Zoom)
- Excellent written communication skills, with the ability to produce clear meeting minutes, status reports, and executive-ready updates.
- Ability to work independently, manage competing priorities, and maintain consistent follow-through with minimal supervision.
- Comfort working in a fast-paced, multi-site environment with shifting priorities.

Contracting Lead – Part Time
TryHackMeTryHackMe is an online, cloud-based, cyber security training platform used by individuals and academics alike.
• As Contracting Lead, you will sit between the sales team and the client's back office, working directly with the client's procurement, legal, security and finance teams until a deal is unblocked. • You'll triage incoming requests, run vendor onboarding and security questionnaires, manage contracts through to signature, and own the systems that keep the whole process running. • Triage every incoming request from sales (email, Slack DM or Notion), taking initial action within 24 hours and identifying which streams apply — legal review, DPA review, vendor forms, or portal registration — running whatever's needed in parallel. • Complete vendor onboarding and compliance forms on TryHackMe's behalf, typically within three working days of having complete information, from basic supplier forms through to AML and due diligence questionnaires. • Complete security questionnaires and vendor assessments, including ISO 27001 evidence, HECVAT, TISAX, DORA, ST4S, SOC 2 gap responses and ad hoc client questionnaires, pulling in internal specialists for ISMS evidence and technical detail as needed. • Register and manage TryHackMe on client procurement portals (Coupa, SAP Ariba, PaymentWorks, GeBiz and others), plus government and reseller registrations such as SAM.gov , Carahsoft and CDW, confirming invoicing routes back to the sales rep. • Manage contracts, NDAs, DPAs and order forms through to signature, routing documents via DocuSign and tracking execution. • Review client contracts and MSAs at a practical level — flagging commercial, insurance, security and data protection issues, grouping them by owner, and briefing the right internal stakeholders for legal, DPA and security review. • Handle tax, banking and insurance documentation for onboarding: tax residency certificates, withholding tax and No PE declarations, treaty paperwork, insurance certificates, and correct banking details across UK, EU, US and international routes. • Sign vendor assessments and DPAs on TryHackMe's behalf within our standard positions, escalating anything outside documented positions. • Own and maintain the end-to-end procurement process and its four-stream model, including intake routes for sales and the KPIs the team works to (24 hour triage, forms in 3 working days, specialist reviews in 5). • Own the Procurement Hub in Notion — the procurement pack, document repository, company details, answer bank, key contacts, bank details and contract jurisdiction pages. • Maintain the procurement pipeline database in Notion and the HubSpot procurement dashboard for tracking and reporting on deals in the stage. • Own the sub-processor registers, both client-facing and internal. • Support the sales team with ad hoc requests — pointing them to the right documents, helping draft emails or responses, and producing client-facing material on request.
