Operations Manager / Office Manager

• Own day-to-day office operations including call center performance, scheduling/dispatch, cash collection, compliance, and administrative workflows. • Track project/job timelines from booking through completion and invoicing, flagging jobs at risk of slipping. • Monitor job costing and margin at a summary level; flag anomalies to the owner. • Manage subcontractor coordination (permits, material orders, inspections, agencies) where applicable. • Maintain accurate records in HouseCall Pro or equivalent CRM/FSM platform (ServiceTitan, Jobber). • Support hiring and onboarding processes for field and office teams.

Job Requirements

  • 2+ years in project management, office management, or operations coordination, ideally in trades, HVAC, plumbing, or field services.
  • Working knowledge of HouseCall Pro or a comparable FSM/scheduling platform (ServiceTitan, Jobber).
  • Excellent written and verbal English communication.
  • Demonstrated ability to manage multiple workstreams and follow up independently without heavy oversight.

Role Description Kadiak LLC, a Koniag Government Services company, is seeking an experienced, motivated Administrative Assistant to support the Indian Health Service (IHS) Electronic Health Record (EHR) Program Management Office (PMO). The ideal candidate is a detail-oriented, organized professional who thrives in a fast-paced environment and is committed to providing exceptional administrative support to a dynamic government program team. This position is 100% remote. The Administrative Assistant will work closely with Program and Project Managers, contractors, and government stakeholders to ensure the seamless coordination of program activities, documentation, communications, and the onboarding and offboarding process of consultants for the project.
