• Monitor and triage the inbox daily, flagging urgent or high-priority items • Draft, proofread, and send responses on the founder's behalf where appropriate • Organize inbox folders/labels and archive or unsubscribe from unnecessary clutter • Follow up on outstanding emails to keep threads moving • Schedule, confirm, and reschedule meetings across time zones • Proactively resolve scheduling conflicts and keep the calendar up to date • Prepare the founder with agendas or relevant context ahead of meetings • Research relevant industry events, conferences, and meetups worth attending or sponsoring • Handle logistics: registrations, travel coordination, and scheduling around events • Gather background research on existing customers ahead of check-ins or renewals • Research potential new customers and compile findings into organized briefs • Support light project and issue tracking in Linear • Help keep tickets, tasks, and statuses organized and up to date • Take on ad hoc administrative tasks as they come up • Help build and document simple processes (SOPs) for recurring tasks
Job Requirements
- Prior experience with a project management or issue-tracking tool (e.g., Linear, Asana, Jira, Trello); Linear experience is a plus but not required
- Prior experience managing email and calendars for an executive or founder
- Strong written and verbal English communication skills
- Highly organized, with strong attention to detail and follow-through
- Comfortable working independently and learning new tools/processes with minimal hand-holding
- Able to work Eastern Time (ET) hours
