Assistant Project Manager

• Assist All Elements of Routine Projects (90%) • Project Coordination - Collaborate with the Project Manager to oversee project schedules, track milestones, and manage workflow to ensure timely delivery of project phases • Act as a liaison between internal teams, clients, and contractors to facilitate seamless communication and resolve issues promptly • Maintain project documentation and organize files, ensuring all stakeholders have access to the most current information • Construction Administration - Manage and distribute RFIs, submittals, transmittals, and other project-related documentation • Monitor construction progress by maintaining logs and tracking contractor inquiries or responses • Revit and Technical Support - Assist with Revit tasks, including creating, editing, and maintaining design models and drawings • Meeting and Communication Support - Prepare meeting agendas, take detailed notes, and distribute summaries with clear action items and deadlines • Proactive Task Management - Anticipate project needs by identifying potential risks, bottlenecks, or inefficiencies and suggesting solutions to keep the project on track
Job Requirements
- B.A. / B.S. degree in engineering, construction, or related discipline
- Minimum three years of related experience
- Knowledge of industry trends, project management and construction procedures and best practices
- Knowledge of MEP / FA / FP trades and the general requirements for each
- Skilled at producing drawings and visual aids using Revit
- Skilled at using MS Office Suite (Excel, Word, Outlook, PowerPoint, Teams), along with exceptional organizational skills for file management
- Skilled at using project management software such as Procore
- Knowledge of the importance of the Method of Procedure (MOP) Process, work notifications and protection of IT network and other equipment during construction
- Ability to follow company and site safety requirements
- Ability to communicate effectively in both oral and written form (technical and non-technical information)

• Reporting to the Project Manager, the Assistant Project Manager is responsible for working with an assigned Project Manager to coordinate and accomplish the necessary project tasks and requirements. • Support initial project set up once award and estimate handoff is complete. • Be part of the project execution plan, critical risk path and milestones schedule for each assigned project. • Advise on the allocation of resources to ensure timely completion of each milestone. • Manage project changes via established change management procedures and ensure all changes are properly communicated to the Client and project team. • Maintain all project documentation including project execution plan, risk register, schedule, health and safety plan, quality plan and any REG mandatory project documentation. • Report to the Project Manager all project expenditures and ensure adherence to the approved budget. • Align man-hour projections on assigned projects. • Manage and co-ordinate project material/equipment/subcontracts activities to ensure successful and timely delivery of project requirements. • Ensure timely processing of accounts receivable and payable invoices to maintain cashflow. • Maintain project reporting both to Client and internal stakeholders. • Ensure effective communication between the Client, project team and project stakeholders. • Support project meetings including kick-offs, updates, change orders, recovery plans and lessons learned. • Maintain reporting of safety and environmental requirements of each assigned project. • Maintain reporting of quality and acceptance requirements of each assigned project. • Identify project staffing requirements, including specialty consultants and subcontractors. • Set clear expectations of project team members to ensure successful project delivery. • Support the Project Manager in project close out and project post-mortems in order to identify areas for improvements; make recommendations based on findings.
