Role Description We are seeking a highly organized and proactive Project Operations Manager to oversee the operational coordination of active projects and ensure smooth alignment between project teams and the finance department. This role requires a strong sense of ownership, responsibility, and follow-through, with the ability to manage multiple priorities, maintain accurate reporting, and support financial and operational discipline across projects. The ideal candidate has experience in project coordination, operations management, and finance-related processes, and is capable of driving execution while keeping stakeholders aligned. - Oversee the day-to-day operational coordination of active projects. - Track project progress, timelines, deliverables, and operational requirements. - Coordinate closely with internal teams to ensure projects are running according to plan. - Act as the main point of coordination between project teams and the finance department. - Monitor project budgets, spending, invoicing, payment status, and cost-related updates. - Support budgeting, forecasting, financial tracking, and project reporting. - Ensure all project data, records, and documentation are accurate and up to date. - Identify operational or financial risks and escalate issues in a timely manner. - Follow up with stakeholders to ensure accountability and completion of action items. - Improve workflows, reporting structures, and coordination processes across projects. - Prepare regular project and financial status reports for management. - Maintain strong control over project organization, priorities, and cross-functional communication. Qualifications - Bachelor’s degree in Business Administration, Finance, Operations Management, Project Management, or a related field. - Proven experience in project coordination, operations, or project management. - Strong understanding of finance processes, budgeting, cost tracking, and reporting. - Excellent organizational and multitasking skills. - Strong sense of ownership, accountability, and attention to detail. - Ability to coordinate across departments and manage multiple active projects at once. - Strong communication and follow-up skills. - Ability to work under pressure and meet deadlines. - Proficiency in Microsoft Excel and project tracking/reporting tools. - Problem-solving mindset with the ability to anticipate issues and act proactively. Requirements - Experience working closely with finance teams on project-related budgets and reporting. - Knowledge of project management tools and ERP systems. - Experience in operational process improvement. - PMP or other project management certification is a plus. • Managing construction and refurbishment projects from inception through to completion, ensuring delivery to scope, budget, quality and programme requirements. • Developing project briefs, programmes, budgets, risk registers and delivery plans with key stakeholders. • Coordinating all stages of the project lifecycle, including feasibility, design, procurement, construction, handover and close-out. • Managing project costs, forecasts, purchase orders and financial reporting to ensure strong commercial control. • Leading project meetings, site reviews and progress updates, ensuring actions are completed and risks are effectively managed. • Building strong relationships with operational teams, contractors, consultants and external partners. • Ensuring projects are delivered safely and in compliance with CDM 2015, Building Regulations and company standards. • Minimising disruption to our sites by planning works effectively and maintaining clear communication throughout delivery.

• Provide consistent customer communication using the 1, 2, 3 call process: Introductory Call, Scheduled Confirmation, Close out call • Manage a high-volume of cases • Maintain case close time, meeting company targets • Drive a superior customer experience: Act as the sole point of contact to the customer • Update new/changed customer information in the system • Provide project expectations to the customer • Communicate with the scheduling team to ensure installs and callbacks are completed promptly • Respond professionally and in a timely manner to customer calls and emails • Assist customers with submitting Mass Save Rebates via the Mass Save website • Initiate and collect project payments for customer accounts • Perform additional tasks as required.

• Lead multiple concurrent datacenter construction projects of varying size, complexity, and phase • Oversee the delivery of greenfield, brownfield, and retrofit engineering and design projects • Manage internal and external resources to support building, power, cooling, telecom, and controls scope • Coordinate internal client stakeholders and external consultants • Facilitate problem-solving and support the incorporation of new equipment and operational processes • Provide design and construction coordination for datacenter projects • Build strong, productive relationships with clients and project partners • Collaborate and cross-train with Otak team members to improve efficiency, quality, and project delivery
