Payroll Specialist
SWBC
• Serve as the primary SWBC PEO representative and primary contact with assigned clients and shared employees • Fulfill customer service needs • Responsible for all aspects of the payroll for the assigned employees facilitating timely and accurate processing of multi-state, weekly, bi-weekly, semi-monthly, and monthly payroll schedules • Maintains payroll-related accounts and processes multi-state payroll • Responsible for reconciliation and accuracy of payroll system • Prepares forms, enters data into payroll system, computes wages and deductions, and posts to payroll records • Interacts with clients regarding payroll questions and problem resolution • Maintains and processes appropriate records to support all payroll transactions including salary changes, deduction changes, terminations, and name and address changes • Works with clients to resolve payroll issues and/or discrepancies • Processes garnishments • Collects and ensures new hire paperwork and appropriate documents are processed accurately in the payroll and timekeeping systems • Maintains W-4 and I-9 documents for all client new hires and processes E-Verify • Performs all other duties as assigned
Job Requirements
- High school diploma or equivalent required
- Advanced degree a plus
- Minimum of three (3) years of experience in payroll processing, garnishments & general deductions, and W-2 & I-9 maintenance
- Fundamental Payroll Certification (FPC) preferred
- Certified Payroll Professional (CPP) preferred
- Bilingual preferred
- Working knowledge of processing job costed and certified payrolls
- Knowledge of time clock systems
- Knowledge of the Department of Labor and Fair Labor Standards Act in regards to payroll and overtime
- Working knowledge of personal computers and payroll database systems
- Working knowledge of handling routine payroll tasks and effectively communicating the results
- Proficient skills in MS Excel, Word, and PowerPoint
- Excellent verbal and written communication skills
- Strong interpersonal and organization skills
- Strong listening skills with the ability to focus on detail, demonstrate accuracy, and maintain a high level of confidentiality
- Able to be internally inspired to perform a task to the best of one’s ability using his or her own drive or initiative

Job Requirements Job Responsibilities Technical Resource: Serve as the primary resource for any Payroll & Benefits related inquiries around implementation, roadmap, and client roadblocks. • Lead and oversee full cycle global payroll processing across multiple countries, including salaries, bonuses, incentive compensation, and statutory deductions. • Manage and develop a fully remote, geographically dispersed payroll team. • Ensure compliance with country specific tax regulations, labor laws, and reporting requirements. • Review and approve payroll registers, reconciliations, funding reports, and statutory filings prior to submission. • Serve as the primary escalation point for complex, multi-country payroll issues. • Maintain global payroll data integrity, confidentiality, and compliance with internal controls, audit standards, and regulatory requirements. • Oversee payroll tax filings, garnishments, benefit deductions, and statutory requirements. • Lead year-end payroll activities, including W-2 preparation and distribution. • Partner with HR, Finance, and Legal on compliance-related matters. • Serve as the global payroll systems subject matter expert for ADP (Workforce Now / Lyric) and related HRIS platforms. • Lead and support global payroll integrations related to acquisitions, cross border expansions, and enterprise-wide system implementations. • Ensure seamless alignment and integration between global payroll, timekeeping, HR, and finance systems.
• Responsible for the execution of certain internal controls that are integral to compliance with Sarbanes Oxley (“SOX”) requirements • Identification and implementation of process improvements to streamline the payroll and procure-to-pay cycle • Partner with the Accounting team to ensure accurate expense coding • Monitor internal and external inquiries to ensure excellent customer service and timely, professional responses • Supervise and develop team members by assigning tasks, monitoring performance and providing coaching and feedback • Have full understanding of integrations between ADP SmartCompliance Payment Solutions and Tax filing as well as integrations for travel, expense and invoice management software (SAP Concur) and ERP (PeopleSoft) • Work directly with the Treasury team to initiate wire transfers • Manage the end-to-end AP process, including invoice processing, payment approvals and vendor communications • Maintain a strong internal control environment and efficient operating processes/policies related to vendor maintenance, invoice processing, expense report processing, travel processes and disbursements • Lead procure-to-play projects such as the implementation of new software solutions and/or integration of acquired companies • Manage daily activities, including review of daily extracted invoices to validate approvals • Regularly reconcile vendor statements with internal records to identify and correct discrepancies • Generate regular reports on accounts payable metrics, including outstanding balances, payment trends, and vendor performance • Partner and collaborate with the Treasury, Finance and Operations teams to align AP processes with company objectives, as well as cross-functional teams to facilitate financial system and reporting integrations • Manage the Corporate Purchasing Card Program • Ensures payments are made accurately and on time • Manage the end-to-end Payroll process, including reconciliation to source documents, quality checks to assure accurate payroll result, oversee timekeeping and paid time off modules • Lead quarterly and year end tax and W2 balancing processes • Maintain a strong internal control environment and efficient operating processes/policies related to payroll processing • Lead payroll projects such as the implementation of new software solutions and/or integration of acquired companies • Proactively identify operational issues and inefficiencies • Generate regular payroll reports for various teams including Human Resources, Accounting and FP&A
