Role Description The IMA Group is seeking a highly organized Scheduling Coordinator to support our Pennsylvania BDD provider scheduling team. In this role, you'll coordinate provider reschedules, optimize appointment availability, and ensure schedules are updated accurately and efficiently. This is an excellent opportunity for someone who thrives in a fast-paced, detail-oriented environment and enjoys working collaboratively. - Coordinate daily provider reschedules based on requests from the Provider Relations team. - Move appointments up when availability allows or place patients into the scheduling queue as needed. - Complete scheduling adjustments for priority exam double bookings. - Monitor schedules, identify conflicts, and communicate issues to the Scheduling Supervisor. - Maintain accurate scheduling records while adhering to HIPAA, OSHA, and company policies. - Collaborate with internal teams to provide exceptional scheduling support and customer service. Qualifications - High school diploma or equivalent required. - Previous scheduling, administrative, customer service, or healthcare experience preferred. - Strong organizational skills with excellent attention to detail. - Ability to prioritize multiple tasks in a fast-paced environment. - Excellent communication and computer skills, including Microsoft Office. • Coordinate and assign caregivers to client visits and shifts • Maintain and update caregiver schedules in the scheduling software • Handle scheduling requests, changes, and emergencies promptly • Serve as the primary point of contact for caregivers regarding scheduling inquiries • Communicate schedule changes and updates to caregivers and clients • Collaborate with the care coordination team to ensure alignment between client care plans and caregiver schedules • Monitor caregiver compliance with client care plans and agency policies • Address and resolve scheduling conflicts in collaboration with the senior scheduling coordinator or management • Ensure accurate and up-to-date documentation of caregiver assignments and client schedules • Provide support to caregivers regarding scheduling-related inquiries and issues • Assist clients and their families with scheduling concerns
