Role Description Dimagi is looking for a highly organised, detail-driven Senior People Operations Administrator to join us remotely on a fixed-term contract of approximately 9 months, supporting the team during a maternity cover period. In this role, you'll be the administrative anchor for our People Operations team, supporting team members across South Africa, India, the Americas, and other regions. You'll need to hit the ground running — taking full ownership of your work and managing priorities across regions with a high degree of autonomy. You'll be an important part of keeping our People Operations running seamlessly, ensuring employees across our global teams feel supported every step of the way. You'll be working remotely as part of a globally distributed team, collaborating across time zones with colleagues across South Africa, India, the Americas, and beyond. Responsibilities - Global People Operations Administration - Serve as the primary point of contact for People Operations queries, managing and resolving employee tickets and requests via Jira in a timely manner across all regions. - Own the day-to-day management of People Operations Jira workflows, such as onboarding, transitions, offboarding, and other employee lifecycle requests are managed accurately and completed on time. - Maintain and update HR systems and records to ensure data accuracy and consistency across the employee lifecycle. - Provide administrative support to regional People Operations Leads on regional tasks, including compliance reporting, recruiting coordination, and employee support where additional capacity is needed. - Employee Lifecycle Support - Lead and coordinate People Operations-driven onboarding training for new hires, ensuring a smooth and consistent experience. - Coordinate with PEO vendor to facilitate HR, payroll, and benefits services for PEO-hired employees, ensuring timely and accurate support. - Collaborate cross-functionally as needed to ensure employees are well supported throughout the employee lifecycle. - Payroll & Statutory Compliance Administration - Payroll Management: - Support the administration of payroll processing for employees in South Africa and India, in coordination with external payroll providers. - Review payroll invoices and reports for PEO-hired employees and ensure invoices are submitted to Finance in a timely manner. - Coordinate wire payroll process with Finance and prepare payslips. - Tax Account Administration: - Work with payroll providers to ensure all statutory reporting is completed on time and annual employee tax forms (e.g. IRP5 for South Africa, Form 16 for India) are issued accurately. - Ensure all statutory and compliance billing is submitted timely to the finance team. - Assist the regional People Operations Lead with benefits research, selection, and open enrollment administration. - Financial Administration - Coordinate vendor invoicing, ensuring invoices are reviewed, correctly approved, and submitted to Finance on time. - Support monthly cash flow projections and budgeting for regional offices. - Process People Operations-related expenses (e.g., POps-managed tools, subscriptions, and services). - Manage BrexCard payments and submit monthly expense reports through Expensify. - Leading/Assisting on global projects: - Lead small global projects: Independently plan and execute for small global activities or medium complexity tasks for projects assigned exclusively. - Assist on projects: Provide administrative support as required for projects or OKRs that the POps team is managing e.g. through preliminary research, preparing drafts etc. Qualifications - 5+ years of experience in People Operations or HR Administration. - Highly organised with strong attention to detail and the ability to independently manage multiple priorities in a fast-paced environment. - Strong technical aptitude with the ability to quickly learn and adapt to new People Operations systems and tools (e.g. Jira, Culture Amp). - Clear and effective written and verbal communication skills, with the ability to adapt communication to different audiences. - Able to manage competing priorities, set clear expectations, and escalate risks when needed. - A proactive problem-solver who approaches challenges with curiosity and a continuous improvement mindset. - Comfort in using Google Suite and Microsoft products, especially Excel. - (Bonus) Previous experience working in an impact-focused organisation. - (Bonus) Previous experience processing or administering payroll. - (Bonus) Previous experience working on a global team.
