Role Description As a Creative Operations Officer, you will help teams turn messy creative and operational processes into clear workflows, systems, documentation, and handoffs. This is not a generic coordinator role. The focus is reliable delivery: - Understanding how work really moves. - Structuring it clearly. - Building practical Airtable and lightweight workflow solutions. - Helping people use them. You do not need to come from a social media background. You do need to be comfortable learning new domains quickly, asking good questions, and using tools and AI to make your work clearer, faster, and easier to hand over. What can you expect? - Organize and manage your own work across briefs, tasks, priorities, and follow-ups, without needing every next step spelled out. - Deliver work cleanly, independently, and on time, with clear status updates. - Map messy processes, identify bottlenecks, and turn ambiguous briefs into clear next steps. - Use AI responsibly to speed up workflow mapping, documentation, QA, data cleanup, and automation support, while checking outputs carefully. - Clean up creative approval workflows so teams know what is planned, what is waiting for review, what is approved, and who owns the next action. - Structure work into sensible fields, statuses, ownership, handoffs, review points, and definitions of done. - Build Airtable bases, views, and interfaces for client teams, with supporting documentation that makes the workflow easy to use. - Improve lightweight systems in tools such as Airtable, spreadsheets, project management platforms, documentation tools, Slack or Teams workflows, and automation platforms. - Create clear documentation, SOPs, interface notes, handover materials, and client-ready explanations. - QA your own work before handoff, checking data, logic, copy, statuses, permissions, assumptions, and user experience. - Present process improvements in clear, non-technical language to internal teams and client stakeholders. - Collaborate with creative, social, client service, analytics, and technical colleagues to ship practical improvements. - Support workflows after launch by gathering feedback, fixing friction points, and improving adoption. Qualifications - Experience taking ownership of workflows, processes, systems, or operational projects and making them clearer or more reliable. - Strong structured thinking: you can break a messy problem into users, inputs, outputs, statuses, handoffs, risks, and decisions. - Practical AI use in real work, improving workflow efficiency and measuring success with KPIs. - Reliable ownership of defined projects, including asking clarifying questions, communicating progress, and escalating early when something is blocked. - Excellent written communication and documentation skills. - Confidence with spreadsheets, structured data, project tools, and documentation tools. - Strong no/low-code and systems aptitude. Airtable experience is highly useful. - High attention to detail and a habit of checking work before it reaches other people. - Comfortable explaining systems, process changes, and trade-offs to non-technical stakeholders. - Adaptability and curiosity about new tools, especially where they make delivery cleaner or faster. Requirements - Experience with creative, content, social, campaign, approval, or asset workflows. - Experience building Airtable bases, interfaces, automations, or similar lightweight project management workflows. - Familiarity with tools such as Asana, Monday.com, Jira, Zapier, ChatGPT/Codex, Claude/Cowork, Slack, Teams, etc. - Basic familiarity with JavaScript, HTML, APIs, or scripting concepts. - Experience with change management—helping teams adopt a new process or tool without creating unnecessary complexity. Benefits - Up to USD 25,000 salary on a full-time contractor contract. - Fully remote working. - Working with globally recognisable brands in US Entertainment. - Access to benefits (country dependent). - Working with the latest hardware, tech stack, and tools. Application Please include a cover letter with your application. It does not need to be long, but it should give us clear evidence of how you work. - One example of a messy workflow, process, or system you helped make clearer, including what changed and what improved. - Your experience with Airtable or similar lightweight project/workflow tools, including what you have built or improved. - One practical example of how you use AI in your work, including how you check or apply the output. Recruitment Process - First, we will review your CV and cover letter for the requested examples. - If successful, you will receive a task using a provided Airtable base. - If successful, you will be invited to a 60-minute interview.
