• Ensure all communications are professional, accurate, and aligned with firm standards • Conduct intake conversations with prospective clients and gather relevant information • Support the firm's existing Intake Specialist with daily intake activities • Utilize Clio and other software platforms to manage workflows and client information • Follow up with leads and prospective clients in a timely manner • Maintain accurate records and client information within the CRM • Respond to inquiries professionally through phone, email, and other communication channels • Track and manage lead activity to ensure consistent follow up • Coordinate with team members regarding client needs and intake updates • Provide exceptional customer service and create a positive first impression for prospective clients • Assist with additional administrative and intake related tasks as assigned • Assist with converting leads into retained clients
Job Requirements
- Schedule: Monday through Friday, 9:00 a.m. to 5:00 p.m. EST
- Experience in intake, client relations, lead conversion, customer service, sales, or legal support preferred
- Previous experience working with law firms is a plus
- Experience handling inbound and outbound calls required
- Ability to manage multiple priorities and follow up consistently with prospective clients
- Strong verbal and written communication skills
- Ability to work independently with minimal supervision
- Comfortable using technology and learning new systems
- Spanish is not required
- Experience with Clio is highly preferred.
