Role Description The Commercial Contracts Specialist plays a vital role in keeping our commercial operations moving efficiently by coordinating the seamless flow, review, and handling of legal and commercial project documents. This position is dynamic, demanding a high level of critical thinking and meticulous risk identification, focusing heavily on raw capability, judgment, and analytical strength over traditional legal credentials. You will serve as a centralized support resource crossing paths with Project Managers, Estimators, Accounting, Sales, and Operations leadership. This role bridges the gap between risk mitigation, contract lifecycle management, and cross-functional support. You will split your time between hands-on contract analysis, core term extraction, and administrative lifecycle tracking. Key Responsibilities - Logistics and Contract Specialist - Review, analyze, and redline commercial contracts to identify potential risk, liability, and compliance issues early in the project lifecycle. - Provide clear, actionable insights that help Project Managers and Estimators avoid costly contractual pitfalls. - Raise the flag confidently when non-obvious or unusual risk factors appear within dense documentation. - Term Extraction and Lifecycle Management - Extract and document critical contractual variables (such as labor requirements, markups, warranties, and scope limits) ensuring total internal clarity. - Take full ownership of tracking contracts through every stage, from initial draft and redlines to final execution logging. - Transition contracts seamlessly to a support-on-demand model once documents are fully executed. - Cross-Functional Support and Workflows - Maintain accurate, real-time data entries and manage clean digital workflows across Monday.com, Adobe Acrobat, Excel, and DocuSign. - Partner with Accounting and Safety teams to provide contract-adjacent document tracking where applicable. - Support project teams with documentation, administrative log updates, and note-taking as needed. - Operational Support and Communication - Maintain clear, proactive communication across multiple departments to coordinate contract turnaround expectations. - Confidently represent the contracts function, answering routine inquiries from Sales, Preconstruction, and Operations leadership when the Commercial Contracts Manager is unavailable. - Focus strictly on pipeline quality and precision to ensure zero bottlenecks in our fast-moving project operations. What Success Looks Like - Analytical Precision: Identifying and flagging subtle or hidden compliance risks before contracts reach execution. - Zero Pipeline Bottlenecks: Turning around contract reviews efficiently to keep our estimating and sales teams moving swiftly. - Flawless Lifecycle Tracking: Maintaining meticulous, updated records across Monday.com, Excel, SharePoint, and DocuSign with zero data gaps. - Professional Trust: Building strong, dependable relationships with internal leadership, project managers, and operations teams. Qualifications - Exceptional attention to detail with an elite ability to notice minor discrepancies and language nuances within dense documentation. - Strong critical thinking, logic, and cognitive judgment to assess real-world business impacts. - Excellent written communication skills and the professional confidence to represent a critical corporate function. - High self-motivation, independence, and accountability to thrive and meet strict deadlines in a fully remote environment. - Proficiency or strong technical comfort learning software platforms like Monday.com, Adobe Acrobat, Excel, and DocuSign. However, a formal legal credential is not required. - Background in construction-adjacent fields or contract administration. - Openness to transitioning professionals (such as former educators or teachers) who possess elite organizational talents and a desire to be trained into a specialized contract professional.
