Marketing Finance Specialist

Role Description The Marketing Finance Specialist plays a key role in supporting the Marketing organization by owning financial operations, budget management, and cross-functional coordination. This position serves as the primary liaison between Marketing, Finance, Procurement, Accounts Payable, and agency partners to ensure accurate and efficient management of purchase orders, invoices, budgets, and payment processes. The ideal candidate thrives in a fast-paced environment, takes full ownership of problem-solving, and continuously seeks opportunities to improve processes and enhance operational efficiency. - Serve as the primary finance operations contact for the Marketing organization, including paid media, earned and owned channels, and the internal creative team. - Own the end-to-end management of purchase orders for marketing programs, agencies, consultants, and vendors, including setup, maintenance, tracking, and annual PO creation. - Manage invoice processing from receipt through payment, including validation, reconciliation, and follow-up to ensure timely and accurate financial transactions. - Track budgets, accruals, commitments, and spend against approved marketing plans, providing clear visibility into budget performance, variances, and potential risks. - Maintain accurate financial records and supporting documentation to ensure compliance and audit readiness. - Manage financial operations for all paid media (national and retailer media), creative, and agency partners, including purchase order management, invoice reconciliation, and budget tracking. - Review and reconcile media invoices against approved plans, contracts, and purchase orders to ensure billing accuracy and alignment with negotiated terms. - Monitor agency spend, identify discrepancies, risks, or overages, and drive timely resolution with internal and external stakeholders. - Support monthly and quarterly budget reconciliation, accrual management, and spend forecasting activities for marketing investments. - Partner closely with Marketing, Finance, Procurement, Accounts Payable, and agency partners to ensure smooth and efficient financial operations. - Lead the resolution of purchase order, invoice, payment, and vendor-related issues by coordinating across stakeholders and driving issues to completion. - Participate in regular finance and budget review meetings, providing updates on spend, open issues, reconciliations, and process improvements. - Serve as a trusted resource for financial processes, policies, and operational guidance for marketing teams and partners. - Identify opportunities to streamline financial workflows, improve visibility, and reduce manual effort across finance operations. - Lead root-cause analysis of recurring financial or operational issues and implement sustainable solutions. - Develop reporting and tracking tools, as well as process documentation, to improve efficiency, compliance, and budget transparency. - Recommend and implement scalable process improvements that support evolving business and marketing needs. Qualifications - 5+ years of experience in finance operations, accounting support, procurement operations, business operations, or a related field. - Proven experience managing purchase orders, invoices, budget tracking, accruals, and financial reconciliations. - Hands-on experience managing media invoices, agency billing, and spend reconciliation processes. - Experience working directly with media, creative, digital, or marketing agencies. - Strong understanding of marketing and media spend categories, including paid media, agency retainers, production, and consulting services. - Demonstrated ability to identify financial discrepancies, solve problems, and drive resolution across multiple stakeholders. - Strong analytical, organizational, and problem-solving skills with a high attention to detail. - Advanced proficiency in Microsoft Excel, including working with complex spreadsheets, data analysis, and financial reporting or tracking tools. - Experience in finance operations, accounting, budgeting, accruals, and financial reporting. - Ability to work effectively with cross-functional departments such as Marketing, Accounts Payable, Finance, Operations, and Procurement. - Ability to manage multiple priorities independently and perform effectively in a fast-paced environment. Additional Skills & Qualifications - Experience supporting marketing organizations within consumer-packaged goods (CPG), retail, or related industries. - Familiarity with SAP or similar procurement and financial systems. - Experience with budget planning, forecasting, accrual management, and financial reporting. - Familiarity with media buying processes, agency compensation models, and media reconciliations. - Strong communication skills with the ability to explain financial concepts clearly to non-financial stakeholders. - Comfort working with digital marketing, media, and creative teams on financial and operational topics. Work Environment This is a fully remote role, offering flexibility and the opportunity to work from any suitable location. The position is newly created, providing the chance to shape processes and influence how marketing finance operations are managed. The standard schedule is approximately 30 hours per week, with the potential for hours to increase over time based on business needs. You will collaborate regularly with distributed teams across Marketing, Finance, Procurement, Accounts Payable, and external agency partners, primarily using digital tools and financial systems such as Microsoft Excel and SAP or similar platforms. Job Type & Location This is a Contract position based out of Shelton, CT. Pay and Benefits The pay range for this position is $35.00 - $45.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
