• Organize and distribute the team's backlog of requests, creating and prioritizing tasks with clear ownership and deadlines. • Track the progress of activities, identify bottlenecks, and resolve blockers before they become urgent. • Translate requests from leadership (often loosely defined) into clear scope and actionable tasks for the team. • Monitor productivity and quality metrics, proposing continuous process improvements. • Support the financial/backoffice operation during peak periods (e.g., ensuring payments, reconciliations, and issuances are completed on time), addressing minor bottlenecks as needed. • Help design and document processes so the operation can scale in an organized way. • Serve as a management reference for the team, maintaining momentum, alignment, and a results-oriented focus.
Job Requirements
- Proven experience in project, process, and/or people management (has led, coordinated, or organized a team's work).
- Organized and analytical profile — enjoys working with data, metrics, and workflows, and improving efficiency.
- Proficiency with task/project management tools (e.g., ClickUp, Asana, Monday, Jira, or similar).
- Strong communication skills and the ability to coordinate people with firmness and respect — the team should see you as a point of reference.
- Autonomy to solve problems and “put out fires” without losing sight of organization and process.
- Mid to senior level: Hands-on operational experience and day-to-day team leadership.

Role Description The Project Coordinator works on administrative, technical, and operational projects essential for the success of the department and customer experience. Key responsibilities include: - Build, maintain, and improve program applications in the application management system. - Create, maintain, and improve tracking systems and operational workflows for various projects. - Analyze existing processes, identify opportunities for improvement, and create scalable solutions. - Create, distribute, and train the team on specific projects and processes. - Manage the process and maintain systems for enrolling students in travel insurance. - Provide support to the Sales team with application, billing, and technical support inquiries. - Create content for and maintain the enrollment process for student Pre-Departure online courses in Canvas. - Assist with awarding the Global Navigator Scholarship. - Learn, maintain, and troubleshoot department technology platforms. - Participate in an in-person training each year. - Flexibility to work some evening and weekend hours to meet deadlines. - International travel up to once per year to chaperone student group flights. - Responsible for providing emergency support during 1-2 travel weekends per year. - Other duties as assigned.
