Role Description We are looking for a highly motivated, innovative, results driven Executive Assistant to provide administrative and coordination support to the SVP of direct sales, in a dynamic and high growth environment. This position will proactively coordinate, manage and keep track of necessary schedules, projects and commitments, and contribute to program coordination for transformation initiatives. You will create presentations for executive meetings and will be required to build content and ensure all presenters are prepared accurately. - Assist management with daily operational activities, including calendar management, scheduling, and meeting coordination for leadership calendars. - Coordinate individual and group travel, including, but not limited to transportation and accommodations, meals, and other out of town events. - Identify and facilitate necessary workflows for review and approval sign-offs (including, but not limited to, contracts, agreements, invoices, expense reports, etc). - Manage and coordinate department Wiki page, including creating and coordinating relevant and timely content and frequent updates. - Maintain organizational charts, team calendars, and distribution lists up to date. - Create and manage organization wide communications. - Assist in the planning and organizing of offsite events, conferences, staff training, and employee engagement activities. - Conduct research to prepare and proof briefing materials, agendas, and presentation decks. - Plan and coordinate social events and team building exercises, including arrangements with third party. - Collaborate with assistant community to create best practices; identify opportunities for streamlined support and improved productivity across the company. - Contribute to programs and processes that improve the productivity of leaders and their teams through centralized program coordination or support. Qualifications - 2+ years experience supporting exec-level professionals. - High energy and creative. - Excellent interpersonal and communication skills. - Excellent organizational and time management skills. - Ability to multitask and prioritize. - Self-starter with strong analytical and problem-solving skills. - Passion for and commitment to operational excellence and service to the team and company. - Situational awareness and proactive program management. - Proficiency in Microsoft Office and Google Suite.
