Role Description The Payroll Coordinator provides day-to-day payroll administration and support to ensure accurate and timely payroll processing for hourly and salaried employees. This role is responsible for maintaining payroll data, processing payroll-related transactions, assisting employees and managers with routine payroll inquiries, and supporting payroll audits and reporting activities. The Payroll Coordinator works closely with Payroll, HR, Benefits, Finance, and field leadership to ensure payroll processes are executed accurately and in compliance with company policies and applicable federal, state, local, and provincial regulations. Complex issues and exceptions are escalated to the Payroll Specialist or Payroll Manager as appropriate. Essential Duties & Responsibilities - Support end-to-end payroll processing activities for hourly and salaried employees, ensuring payroll transactions are completed accurately and timely. - Support payroll schedules and processing calendars to ensure payroll deadlines are met. - Process and maintain payroll data for new hires, transfers, promotions, pay changes, leaves of absence, and terminations. - Review timekeeping information, monitor exceptions, and coordinate corrections with managers and employees. - Maintain employee tax profiles, direct deposit information, garnishments, and PTO/Sick Time accrual records. - Assist employees and managers with routine payroll questions and requests while providing excellent customer service. - Process employment verifications, wage garnishments, and payroll-related documentation. - Prepare and distribute standard payroll reports and supporting documentation. - Perform routine payroll audits and data validations to identify discrepancies and coordinate corrections. - Support quarter-end and year-end payroll activities, including preparation of reports and documentation related to payroll tax filings and year-end forms. - Assist with payroll reconciliations and provide support for internal and external audit requests. - Participate in payroll system testing, upgrades, and process improvements as directed. - Collaborate with Payroll, HR, Benefits, Finance, HR Systems, and external vendors to resolve payroll-related issues. - Maintain payroll procedures and documentation to support consistency and compliance. - Protect confidential employee and company information, and maintain the integrity of payroll records. - Comply with all company policies, procedures, and safety practices. - Complete special projects and perform other duties as assigned. Qualifications - Working knowledge of payroll practices, wage and hour laws, and payroll administration processes. - Strong attention to detail and commitment to accuracy. - Strong organizational, analytical, and problem-solving skills. - Ability to maintain confidentiality and handle sensitive information appropriately. - Strong customer service, written communication, and verbal communication skills. - Ability to effectively interact with employees, managers, and cross-functional business partners. - Proficiency with Microsoft Excel and payroll/HRIS systems. - Ability to prioritize multiple responsibilities and meet established deadlines in a fast-paced environment. - Ability to identify issues and escalate complex matters appropriately. - Ability to maintain accuracy while handling high volumes of transactions and meeting strict payroll deadlines. Requirements - Associate's or Bachelor's degree in Human Resources, Business, Accounting, or a related field, or equivalent work experience. - One to three years of payroll, HR, accounting, or related administrative experience. - Experience supporting multi-state payroll environments preferred. - Experience with ADP Lyric preferred; experience with ADP Workforce Now or comparable payroll systems required. - Experience working with integrated systems such as timekeeping, benefits, and financial systems preferred. - Intermediate Microsoft Excel skills and experience working with reporting tools preferred. - Fundamental Payroll Certification (FPC) preferred but not required. Physical & Work Environment Requirements - Prolonged periods of sitting at a desk and working on a computer. - Ability to communicate effectively in person, over the phone, and via digital platforms. - Occasional travel may be required for meetings or training.
