Job Description

Operations Coordinator

Drop Zero Digital

Role Description This is the internal-facing operations seat. You support the founder + scale our hiring + own the operational infrastructure that keeps DZD running. Specifically, four lanes: - Hiring operations + people support: Coordinating the hiring pipeline, scheduling, internal communication, ATS hygiene. - Tom assistant + EA: Inbox triage, calendar management, prep docs, follow-up reminders, scheduling. - Operations infrastructure: SOP drafting, process docs, internal organisation, Notion/Drive maintenance. - Cross-cover: Backstop on internal handoff hygiene when the project manager is heads-down on client work. Weekly load shifts between lanes. Some weeks you're tracking 30 candidates, others you're rebuilding the onboarding doc from scratch. You triage your own time. Qualifications - Accountable: You show up, own misses in present-tense process change, close loops in the right channel by stated deadline. - Strong written communication: Async-first business English, clear and structured. - Warm: Hungry, positive, growth-oriented. Energy points up. - Organisation + judgment under ambiguity: You hold multiple threads simultaneously without dropping any. - Long-term commitment: You see this as a 2+ year career home, not a 6-month bridge. Requirements - NOT a client-facing role: You won't manage client relationships or strategy. - NOT a marketing strategy role: We have specialists. - NOT a 9-to-5 with predictable workload: Heavy weeks happen. - NOT for people who need clear processes already in place: You'll help BUILD the SOPs. - NOT for people who treat ops work as a stepping-stone to real work elsewhere. - NOT for people who can't operate without micromanagement. Compensation - Starting: $1,100/month USD. - Performance-gated step-ups baked in: - $1,400/month at Day 60 if probation passes - $1,700/month at 12-month milestone if sustained performance - Senior-tier raises Year 2+ subject to sustained multi-lane operation + scope expansion - The $1,100 starting rate is above-market for the PH + SA + LATAM pools we source from. Non-negotiables - Daily EOD reflection (3-section format) - Hubstaff time-tracking, real-time, all hours - Direct communication (no softening, no hedging) - Read-before-execute on every brief - AI scoped and disclosed Next steps - Loom application: Loom video + Stage 1 application form via the listing below. - Stage 2 deeper questions: If you pass Stage 1, we'll email you 6 behavioural questions + a work sample request, 48-hour weekday reply window. - AI video interview: Async AI-driven scenario interview via X Interview. ~20-30 min, one chance per question. - Aptitude test: 5-test cognitive + workplace personality battery (Abstract Reasoning, Verbal Comprehension, Numerical Comprehension, Attention & Focus, Workplace Personality). ~56 min. - 10-day paid trial: Real work, fixed-fee, daily deliverables. We assess fit, you assess us. - Official start: If both sides are aligned at the end of the trial, you start officially in the role with a structured bedding-in period before full confirmation.
