Human Resources Operations Specialist

• Support full-cycle recruiting efforts including job postings, candidate sourcing, resume screening, interviewing, offer administration, and pre-employment processes • Partner with hiring managers to understand hiring needs, and ensure timely fulfillment of open positions • Manage the candidate experience throughout the hiring process, ensuring consistent communication and a positive experience for all applicants • Coordinate background checks, reference checks, and offer letters • Coordinate onboarding activities for new hires, including scheduling, HR documentation, system access, equipment shipment, and new hire communications • Support offboarding processes, including employee documentation, equipment recovery, system access coordination, and personnel file maintenance • Maintain accurate employee records and ensure data integrity across HR systems, personnel files, and reporting platforms • Serve as a primary point of contact for employee inquiries regarding HR policies, benefits, payroll, leave programs, and employment-related processes • Assist with benefits administration, employee status changes, leave administration, and HRIS maintenance, including updates and reporting within systems such as Rippling • Support payroll administration by coordinating employee data changes, auditing records, and partnering with accounting for processing • Support HR audits, reporting, and compliance initiatives, ensuring accurate and timely completion of required activities • Assist in the development, maintenance, and communication of HR policies, procedures, forms, and employee resources • Identify opportunities to improve recruiting, onboarding, HR systems, and operational processes, and support the implementation of process improvements • Coordinate employee equipment logistics, including onboarding shipments, returns, and inventory tracking • Partner with Finance, Legal, Quality Assurance, IT, and other departments on cross-functional projects, audits, and operational initiatives • Provide day-to-day administrative and operational support to ensure efficient execution of HR programs and processes across the organization
Job Requirements
- A minimum of a Bachelor's Degree required
- A minimum of 2 years of HR experience with recruiting experience
- Life Sciences, healthcare, or startup experience preferred
- Basic knowledge of HR compliance, employment laws, and HR best practices
- Experience with applicant tracking systems (ATS) and HRIS platforms (Rippling experience preferred)
- Strong interpersonal skills with the ability to build relationships with candidates and internal stakeholders
- Effective written and verbal communication skills
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
- Detail-oriented with a proactive and problem-solving mindset
- Ability to handle sensitive and confidential information with professionalism.
