Role Description The Team Coordinator provides comprehensive administrative, operational, and systems-based support to enable efficient team performance and smooth day-to-day operations. This role serves as a key partner to teams by coordinating schedules, managing workflows, supporting projects, and maintaining critical documentation and processes. The ideal candidate is highly organized, detail-oriented, and comfortable navigating internal systems and tools to ensure workstreams remain on track and operational needs are met. Location: East Coast, Remote. Reports to: Senior Director, Commercial Operations. Roles and Responsibilities - Manage team calendars, coordinate meetings, and schedule appointments to ensure efficient use of time and resources. - Coordinate domestic and international travel arrangements, including itineraries, accommodations, transportation, and related logistics. - Organize team events, workshops, offsites, and meetings by managing logistics, materials, and communications. - Support day-to-day team operations by coordinating workflows, tracking deliverables, and ensuring deadlines are met. - Maintain accurate records, documentation, trackers, and databases to support operational effectiveness and compliance with internal standards. - Administer and update internal systems, tools, and platforms to ensure data accuracy and process efficiency. - Coordinate cross-functional activities and facilitate communication between stakeholders to support team objectives. - Support project execution by tracking milestones, monitoring progress, and escalating risks or issues as appropriate. - Identify opportunities to improve operational processes and implement enhancements that increase efficiency and effectiveness. - Assist with onboarding activities, resource coordination, and access management to support a positive employee experience. - Provide administrative and operational support to leaders and team members as required to ensure smooth business operations. Qualifications - 2–5 years of experience in an administrative, team coordination, operations, or project support role. - Diploma, associate degree, bachelor's degree, or equivalent experience in Business Administration, Operations Management, or a related field. - Experience supporting managing competing priorities in a fast-paced environment. - Strong organizational, time management, and prioritization skills. - Excellent written and verbal communication skills. - Strong attention to detail, problem-solving skills, and ability to maintain confidentiality. - Ability to manage multiple tasks, meet deadlines, and work effectively both independently and collaboratively. - Relevant administrative, project management, or operations-related certification is considered an asset. - Demonstrates professionalism, adaptability, initiative, and a customer-service mindset. - Builds effective working relationships and maintains a high level of integrity and accountability. Benefits - Base salary range: $80,000 — $115,000 USD. - Additional discretionary bonuses and equity eligibility for all roles at Compass. Requirements - Intake new cases and review/verify information and requests. - Draft cases by entering information into the Dane Street system, AccessDS. - Work with the client on any information missing that is pertinent to processing the claim. - Sort, organize, and create a medical document listing if required by the client. - Assign/schedule new cases to physicians for review based on various criteria. - Ensure that the assigned physician has no conflict of interest with the case assignment. - Monitor, process, and track cases to ensure deadlines are met. - Review reports accompanying medical records for completeness and accuracy. - Follow up with the reviewer and client for any additional questions or clarifications. - Update clients frequently on referral progress. - Ensure reports are grammatically correct and adhere to the QA checklist. - Communicate clearly and concisely between the customer, reviewer, and Operations team. - Confidently speak with physicians and clients regarding IME/record reviews. - Ensure proper documentation for specified cases is provided to the client. - Perform other duties & special projects as assigned based on business needs.
