Intake & Scheduling Coordinator

Role Description We are seeking a highly organized, people-oriented Intake & Scheduling Coordinator for an ABA company. This is a key front-facing role. You'll be one of the first people families interact with when seeking services for their child, guiding them through the intake process while also helping ensure our clients receive consistent, well-coordinated therapy schedules. What You'll Be Doing: - Intake & Family Support - Working inbound leads daily and qualifying families for services - Conducting free consultations by phone (no Zoom or Teams required) - Managing intake paperwork and documentation through completion - Guiding families through the onboarding process and providing ongoing communication - Keeping our CRM pipeline updated to ensure timely follow-up and movement through the intake process - Scheduling & Client Coordination - Managing the scheduling phone line and responding to scheduling requests from families and staff - Building and maintaining client schedules based on family availability, staff availability, and clinical recommendations - Coordinating therapist assignments and schedule adjustments - Managing schedule changes due to staff call-outs, family cancellations, vacations, and other last-minute needs - Communicating schedule updates to families, RBTs, BCBAs, and leadership - Monitoring schedule consistency and helping maximize client access to services - Problem-solving scheduling conflicts and finding creative solutions to keep services running smoothly - Collaborating closely with Clinical and Operations teams to support staffing and scheduling needs - Referral & Community Outreach - Building and maintaining relationships with pediatricians, diagnosticians, schools, and community referral sources - Supporting outreach efforts to increase referrals and community awareness of services Qualifications - Experience in ABA, healthcare scheduling, staffing coordination, or client services - Strong customer service and phone communication skills - Experience managing multiple calendars or schedules simultaneously - Ability to handle confidential information professionally - Excellent attention to detail, follow-through, and time management skills - Strong communication skills - Comfortable working U.S. hours - Remote work from home Fraud Disclaimer ReWorks Solutions will never request payment during recruitment or require in-person office visits.
