Role Description The Coordinator, Marketing Operations at Original X Productions is responsible for streamlining and managing the operational workflow of campaign programming and deliverables across our location-based entertainment experiences. This role focuses on: - Tracking, prioritizing, and submitting proposals and briefs. - Distributing creative asset requests. - Assisting with coordination of promotional programming across departments. - Managing IP/licensor approval workflows. - Ensuring smooth communication between internal teams and external partners. As a key administrator for Monday.com and licensor submission platforms, this role ensures that all promotions and initiatives - along with associated assets - are organized, feedback is efficiently relayed, and deliverables are met on time. The ideal candidate is detail-oriented, highly organized, and excels at managing processes and systems in a fast-paced environment. This is a remote role and can be located anywhere in the United States. Qualifications - 3+ years of experience in project management, creative and/or marketing operations, or a related role within the entertainment, design, or marketing industry. - Experience with project management software, preferably Monday.com, and familiarity with licensor submission platforms. - Highly organized with a strong attention to detail, and the ability to manage multiple projects and deadlines simultaneously. - Excellent communication skills, with the ability to relay feedback and project updates clearly and efficiently. - Team player with experience working across multiple teams (creative, production, marketing, etc.). - Proactive and a self-starter with good time management and prioritization instincts. - Proficiency with asset management and collaboration tools such as Monday.com, Asana, or similar platforms is required. - Prior experience working with IP licensors or managing approval workflows is a strong plus. - Proficiency in Google Workspace platforms including Slides, Docs, and Sheets. Requirements - Own and manage the intake and tracking of all asset requests and promotional initiatives requiring partner approval using Monday.com or other workflow tools. - Prioritize and distribute briefs and approval requests to appropriate teams, ensuring clarity around deadlines, scope, and deliverables. - Track progress on all open requests and projects, ensuring milestones are met and deliverables are distributed on time. - Maintain organization of assets and collateral, ensuring proper file management and version control. - Manage the full IP/licensor approval process for creative and brand assets and promotional programming, ensuring all deliverables meet required standards and timelines. - Ensure proper timelines are followed throughout the full process, including planning, design, approval request, and execution/implementation. - Serve as the primary point of contact with licensor submission platforms, uploading, tracking, and reporting the status of all submitted assets. - Collaborate with internal teams and key stakeholders to ensure licensor feedback is gathered, processed, and incorporated into final deliverables in a timely manner. - Communicate effectively with external licensors and internal stakeholders, ensuring transparency throughout the approval process. - Track and collate feedback on campaign proposals and briefs from stakeholders and licensors, and relay it clearly back to appropriate action item owners for revisions and/or execution. - Provide preliminary internal feedback on new/proposed initiatives based on prior licensor review notes to streamline partner approvals. - Liaise with key internal support teams (legal, finance) to assist with vendor onboarding and contract review. - Interface with creative team, marketing team, and retail team to manage cross-departmental initiatives (e.g., retail style guides, VIP (and VVIP) experiences, guest-facing special event programming). - Provide regular status updates to key stakeholders and senior management, highlighting project timelines, key deliverables, and any potential roadblocks. - Serve as the primary administrator for Monday.com, ensuring that workflows, project boards, and task tracking systems are consistently up to date. - Develop and maintain best practices for workflow management, including streamlining processes for creative request submissions, approvals, and asset delivery. - Identify and implement efficiencies in project tracking, communication, and campaign/asset management to improve team (and company) productivity.
