Logistics Coordinator - Operations Representative

Role Description The Operations Representative is responsible for managing day-to-day shipment execution and serving as the frontline point of contact for clients’ brokerage customers. This role ensures freight moves seamlessly by coordinating with carriers, internal teams, and clients to resolve service issues, provide proactive communication, and maintain accurate shipment records. The Operations Representative balances operational efficiency with customer service excellence, playing a vital role in ensuring client satisfaction and long-term account success. This role performs routine assignments while expanding conceptual knowledge, developing skills sets and expertise for the next level. Key Responsibilities - Shipment Execution & Monitoring - Manage daily execution of customer shipments including rating, routing, booking, and tendering. - Track and trace shipments, updating milestones in the TMS to ensure visibility for internal teams and clients. - Ensure all shipment documentation (BOL, POD, accessorials) is accurate and uploaded on time. - Escalate uncovered or at-risk loads to Carrier Sales within 12 hours of pickup. - Customer Communication & Service - Serve as the primary point of contact for shipment-level updates, providing timely and accurate information. - Proactively notify customers of delays, exceptions, and resolution plans. - Respond quickly to client inquiries and requests, ensuring a customer-first experience. - Support Account Managers in executing customer SOPs and meeting service-level agreements. - Issue Resolution & Escalation - Coordinate load recovery in the event of a fall-off, delay, or service failure. - Escalate service incidents within 15 minutes of identification and provide ongoing status updates until resolved. - Partner with internal teams to ensure corrective action plans are executed. - Accuracy, Compliance & Reporting - Maintain accurate shipment records in the TMS, ensuring data integrity and timely updates. - Validate rating, contracts, and routing guides for compliance with customer requirements. - Provide reporting and shipment summaries to customers or internal stakeholders as requested. - Support claims and billing discrepancy resolution within defined SLAs. Working Conditions - Working schedule: Monday - Friday, 08:00-17:00 EST - Remote mode of work - 10+ business days of paid time off - Team building and corporate events - Equipment provided - A supportive team Qualifications - 1–3 years of experience in logistics, freight brokerage, or transportation operations preferred - Bachelor’s degree in Business, Supply Chain, or related field preferred (or equivalent work experience). - Strong communication skills with the ability to provide professional customer service. - Proficiency with TMS platforms and Microsoft Office Suite (Excel, Outlook, Word). - Knowledge of LTL, truckload, and multimodal freight solutions preferred. - Strong organizational skills and ability to manage competing priorities in a fast-paced environment. Role Description We are hiring a Supply Chain Operations Analyst to own the physical flow of inventory from our vendors to our prep centers and into the fulfillment pipeline. You will be the single point of accountability for routing every purchase order to the optimal prep center, managing all prep-center communication and file handling, working directly with freight brokers, and keeping our freight reconciliation tight and accurate. This is a senior, build-oriented role. You will not just execute the workflow — you will design and continuously improve the systems that run it. The core infrastructure already exists; your job is to tie it together, operate it daily, and relentlessly automate the manual edges. You will work directly with the founder on the systems side and have real ownership over how this function runs. Key Responsibilities - PO Routing & Prep-Center Operations - Build out and operate the system that routes each purchase order to the best of our four nationwide prep centers, factoring in vendor ship-from location, cost, speed, and capacity. - Manage all communication and file uploads with our four prep centers — shipping plans, packing/prep instructions, box content files, and follow-ups. - Coordinate inbound shipments from vendors who ship from different locations across the country, ensuring each PO lands at the right facility with complete and accurate documentation. - Freight & Vendor Coordination - Communicate directly with freight brokers to arrange, track, and troubleshoot shipments between vendors and prep centers. - Communicate directly with key suppliers — including Soccer Zone and GMA Sales — on order logistics, ship-from details, and timing. - Reconciliation - Own and improve freight invoice reconciliation — auditing carrier-billed amounts against quoted rates, flagging discrepancies, and tightening the process so it runs cleaner and more automatically over time. - Systems & Automation - Continuously look for ways to automate, streamline, and remove manual steps from every workflow you touch. Document what you build so it is repeatable. - Partner directly with the founder to connect existing infrastructure into a unified, working routing-and-reconciliation system. Much of the groundwork is built — this is about integration and operation, not starting from zero. Qualifications - Senior-level supply chain, logistics, or e-commerce operations experience — someone who can design systems and execute them, not just follow a checklist. - Hands-on experience with prep centers, 3PLs, freight brokers, or inbound logistics (Amazon FBA experience strongly preferred). - Genuinely AI-first — you already use AI tools to work faster and you instinctively reach for automation. Comfort with tools like ChatGPT/Claude, spreadsheets/Google Sheets, and ideally workflow automation (n8n, Zapier, or similar). - Strong written English and confident, professional communication — you will be the voice to prep centers, freight brokers, and suppliers. - Highly organized and detail-obsessed, especially with documentation, file accuracy, and numbers reconciliation. - Self-directed and reliable in an async, remote environment — you take ownership and escalate only what genuinely needs the founder's judgment. - Process-builder's instinct: when you see something manual or repetitive, your first thought is how to systematize it. Nice to Have - Direct Amazon Seller Central / FBA shipment-creation experience. - Familiarity with multi-channel fulfillment (TikTok Shop, Temu, Shein) or tools like Rithum/ChannelAdvisor. - Light technical ability — reading/writing simple scripts, working with APIs, or building dashboards. - Experience reconciling carrier/freight invoices at volume.
