Senior Payroll Assistant
SPS Commerce, Inc.
• Oversee monthly and semi-monthly payrolls for 1,000 APAC employees by collecting, calculating, and reviewing data in the HRIS system • Ensure successful completion of each payroll cycle • Pay all employee-related compensation accurately and timely • Maintain effective internal controls and business continuity plans for all payroll procedures • Respond to and maintain good relationships with employees, vendors, and colleagues • Communicate on payroll-related interdependencies with cross-functional teams (e.g., Finance, HR) • Keep payroll records organized and compliant with retention policies • Determine payroll policies and procedures, including identification of improvements in systems and processes used to enhance the employee experience and efficiencies in payroll administration • Identify payroll discrepancies by collecting and analyzing information • Process and reconcile year-end reporting and adjustments (e.g., allowances, stock compensation, year-end bonuses, fringe benefits, W-2s) • Prepare monthly journal entries and reconciliations necessary to ensure payroll activity is properly recorded in the consolidated financial statements • Train and mentor Payroll Assistants on payroll issues, reporting, taxes, etc.
Job Requirements
- 5+ years of related experience, such as administrative work or payroll support
- Exceptional numerical and data entry skills demonstrating speed and great attention to detail
- Demonstrated ability to maintain the confidentiality of sensitive information
- Effective communication skills - both verbally and in writing, and business writing abilities
- Basic knowledge of payroll rules and policies, as well as general accounting principles
- Proficient in Microsoft Office, particularly Word, Excel, and Outlook
- Bachelor’s degree in Finance or Accounting (preferred)
- Minimum of two (2) years of experience with HRIS systems involving HR and/or Payroll administrative support
- Experience using ADP Celergo (preferred)

Role Description We are seeking a detail-oriented and experienced Payroll Tax Accountant to join our finance team. The successful candidate will be responsible for managing payroll tax compliance, payroll reconciliations, and reporting processes while ensuring accuracy and adherence to federal, state, and local regulations. This role requires strong experience with both Sage and QuickBooks, as well as a solid understanding of payroll accounting principles and tax legislation. Duties & Responsibilities - Process and review payroll transactions to ensure accuracy and compliance. - Prepare, reconcile, and submit payroll tax filings, including federal, state, and local taxes. - Maintain payroll records and ensure compliance with relevant tax laws and regulations. - Reconcile payroll-related general ledger accounts on a monthly basis. - Manage payroll tax registrations, notices, audits, and correspondence with tax authorities. - Prepare and submit year-end payroll reports and other statutory filings where applicable. - Investigate and resolve payroll discrepancies, tax variances, and employee payroll queries. - Assist with month-end and year-end accounting processes related to payroll. - Generate payroll reports and provide analysis to management as required. - Ensure accurate employee deductions, benefits, garnishments, and tax withholdings. - Collaborate with HR and Finance teams to maintain employee and payroll data integrity. - Stay informed of changes in payroll tax legislation and recommend process improvements. Qualifications - Bachelor's degree or diploma in Accounting, Finance, Payroll Administration, or a related field. - Minimum 3+ years of payroll accounting and payroll tax experience. - Strong working knowledge of payroll tax regulations and compliance requirements. - Hands-on experience with Sage Payroll and QuickBooks. - Experience preparing payroll tax filings and reconciliations. - Strong understanding of payroll accounting entries and general ledger reconciliations. - Proficiency in Microsoft Excel, including formulas, pivot tables, and data analysis. - Excellent attention to detail and high level of accuracy. - Strong problem-solving and organizational skills. - Ability to manage multiple deadlines in a fast-paced environment.
