The ideal candidate will bridge the gap between field service operations and backend accounting by leveraging specialized industry software to ensure absolute accuracy and operational efficiency. Key Responsibilities - Systems Integration: Seamlessly manage workflows between ServiceTitan and QuickBooks Online, ensuring accurate batching, invoice syncing, and database reconciliation. - Accounts Payable: Oversee full-cycle AP processes, including field-vendor invoice verification, expense classification, and purchase order tracking. - Accounts Receivable: Manage trade and residential AR duties, converting field jobs to finalized invoices, tracking payment statuses, and supporting collection efforts. - Core Accounting Support: Perform daily financial data entry, assist with monthly bank and credit card reconciliations, and maintain pristine, audit-ready financial records. - Payroll Administration: Support payroll workflows by auditing technician timesheets, tracking commission/bonus structures within ServiceTitan, and organizing accurate records. - Document Management: Maintain a secure, highly organized digital archiving system for all contracts, receipts, permits, and financial compliance documents. Qualifications - Industry Software Mastery: Proven, hands-on experience navigating ServiceTitan and QuickBooks Online is strictly required. - Professional Experience: 3+ years of progressive experience in a finance administration, bookkeeping, or specialized accounting support role. - Niche Knowledge: Prior experience working with residential or commercial trade services (Plumbing, HVAC, or Electrical) is highly preferred. - Technical Proficiency: Advanced command of Microsoft Office Suite (especially Excel pivot tables and formulas) and secure cloud storage tools. - Core Competencies: Exceptional attention to numerical detail, high organizational skills, and the ability to work autonomously with sensitive financial data.
