Encompass Administrator

Cake Mortgage

• Administer and maintain the ICE Mortgage Technology Encompass platform, including user setup, role assignments, permissions, and vendor account management. • Configure, maintain, and optimize: Custom fields, Input forms, Loan templates, Dashboards and reporting, Workflow automation, Task-based processes, eFolder settings and document libraries. • Manage and enhance the TPO platform to ensure functionality, usability, and a seamless experience for external partners. • Create, manage, troubleshoot, and update Encompass Business Rules and automation logic, including: Field Data Entry Rules, Milestone Completion Rules, Loan Form Printing Rules, Persona-Based Rules, Trigger and Automated Condition Logic, Input Form Logic and Custom Field Automation. • Implement and maintain workflow automation processes to improve operational efficiency and ensure compliance standards are met. • Develop and maintain field triggers, automated workflows, and milestone controls to support mortgage operations. • Test, validate, and deploy Encompass enhancements, system updates, and new functionality. • Maintain clear documentation related to system configurations, processes, and enhancements. • Provide ongoing support and communication to end-users regarding system updates, functionality, and issue resolution. • Support onboarding and offboarding processes, including user access management and security controls. • Collaborate with internal stakeholders to gather business requirements and implement system improvements aligned with organizational goals. • Manage integrations with third-party vendors and maintain related system access and functionality. • Partner with Operations, Processing, Underwriting, Closing, and IT teams to support business initiatives and process optimization. • Perform other duties as assigned to support team and company objectives.

Job Requirements

  • Minimum 3+ years of experience administering and supporting the ICE Mortgage Technology Encompass platform.
  • Strong knowledge of Encompass system administration, including user setup, personas, roles, permissions, and security management.
  • Bachelor’s degree in Information Technology, Business Administration, Mortgage Banking, or related field preferred.
  • Hands-on experience configuring and maintaining custom fields, input forms, loan templates, dashboards, reports, workflow automation, and task-based processes.
  • Experience managing and optimizing TPO platforms and supporting third-party originator relationships.
  • Advanced understanding of Encompass Business Rules, including Field Data Entry Rules, Milestone Completion Rules, Loan Form Printing Rules, Persona-Based Rules, and trigger logic.
  • Proven ability to develop and maintain workflow automation, milestone controls, and automated processes within Encompass.
  • Experience testing, validating, and deploying system enhancements, integrations, and platform updates.
  • Knowledge of mortgage operations, including Processing, Underwriting, Closing, and Compliance workflows.
  • Ability to troubleshoot system issues, identify root causes, and implement effective solutions in a timely manner.
  • Experience supporting third-party vendor integrations and maintaining related system functionality and access.
  • Strong analytical, organizational, and problem-solving skills with high attention to detail.
  • Excellent verbal and written communication skills with the ability to support and train end-users across departments.
  • Ability to manage multiple projects, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Proficiency in documenting system configurations, workflows, and process enhancements.
  • Experience supporting onboarding/offboarding processes and maintaining user access controls and security standards.
  • Collaborative mindset with the ability to partner cross-functionally with Operations, IT, and business stakeholders.
  • Encompass Administrator Certification or related industry certifications preferred.
