German-Speaking Virtual Assistant

• Managing and maintaining the CEO's calendar — scheduling, prioritising, and resolving conflicts with care and foresight • Coordinating travel arrangements, including flights, accommodation, itineraries, and logistics • Handling correspondence and communications on behalf of the CEO — professionally and with appropriate discretion • Supporting the preparation and organisation of meetings, agendas, and follow-ups • Managing day-to-day administrative and organisational tasks to keep operations running smoothly • Anticipating needs and proactively flagging priorities, deadlines, or potential issues • Assisting with ad hoc tasks and projects as required by the CEO and co-owner
Job Requirements
- Native or fluent German speaker — essential; this is a German-speaking leadership environment
- Professional-level English — strong written and verbal communication required
- Additional languages are a welcome bonus
- Proven experience as an executive assistant, personal assistant, or virtual assistant — ideally supporting senior leadership
- Exceptional organisational skills — you manage complexity without losing the details
- Discreet, reliable, and trustworthy — you handle sensitive information with professionalism
- Proactive by nature — you don't wait to be told; you anticipate and act
- Comfortable working independently in a remote environment and managing your own time effectively
- Tech-savvy and comfortable with digital tools for scheduling, communication, and task management
