Project Coordinator

NexGen Data Systems, Inc.

• Assist in planning, organizing, and monitoring project progress. • Collaborate with internal teams to meet project deadlines and deliverables. • Address issues and escalate them to appropriate stakeholders when necessary. • Manage schedules, meetings, and communications for the Proposal Team. • Prepare reports, presentations, and documentation to support responses to Market Surveys, Requests for Information, Pre-Solicitation, Solicitations, Requests for Proposal, Requests for Quotes, Invitations for Bid. • Perform or contribute to Proposal Management activities to include reviewing and analyzing RFP materials and amendments, preparing proposal management artifacts such as capabilities analysis, gap analyses, requirement analysis, compliance matrices, and schedules. • Experience preparing SME data calls, technical writing/editing, and coordinating Color Team reviews required. • Coordinate data calls and collect information from external team members (subcontractors) or provide data call responses to external team members (prime contractor) as necessary for relevant proposals. • Maintain document libraries and develop and organize documentation using a metadata structure to help with future retrieval, use, and information management. • Contribute to the development of procedural and work instructions. • Assist with the design and implementation of processes for capturing, storing, and distributing knowledge using SharePoint best practices. • Serve as a proposal-facilitation liaison between different departments or teams. • Facilitate cross-functional collaboration to meet proposal goals. • Ensure timely dissemination of important updates or changes.

Job Requirements

  • Bachelor’s Degree in English, Business Administration, Marketing, Communications, or similar program required; equivalent combination of education and experience will be considered.
  • Minimum 2 years of professional experience in business coordination, project facilitation, and/or related experience is required.
  • Experience working with Government contractors providing Information Technology (IT) services highly desired.
  • Experience navigating Government contract vehicle portals, procurement notices, industry forecasts, and other opportunity websites, such as Deltek GovWin and SAM.gov.
  • High proficiency with Microsoft Word to conduct intermediate level functions (Styles, Tables, Page Formatting, Table of Contents generation).
  • Proficient with Microsoft Office Suite products, including MS Teams, SharePoint, and Project.
  • Experience developing or organizing documentation using metadata structure is desired.
  • Outstanding writing and editing skills.
  • Outstanding attention to detail, organizational, and time management skills.
  • Excellent written/verbal communication and interpersonal skills.
  • Ability to work independently and deliver high quality work with strict deadlines.
  • Collaborative team focused mentality required to support cohesive work team.
  • Ability to work in a fast-paced environment with rapidly changing priorities.
  • High degree of integrity when dealing with sensitive or proprietary information.
  • Ability to think critically and possess a strong analytical skillset with a business analysis mindset.
