Title: Executive Assistant Location: Sneads Ferry, NC Job Description: We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to the VP. This role requires exceptional communication skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. Hybrid | Must reside in Sneads Ferry, NC Key Responsibilities - Calendar Management: Schedule and coordinate meetings, interviews, and appointments across multiple time zones. - Email & Communication Support: Monitor, prioritize, and respond to emails on behalf of the VP; draft correspondence as needed. - Travel Coordination: Arrange domestic and international travel, including flights, accommodations, and itineraries. - Document Preparation: Create presentations, reports, and meeting materials; maintain accurate records and files. - Project Assistance: Support special projects, research tasks, and follow-up on action items. - Confidentiality: Handle sensitive information with the highest level of discretion and professionalism. - Vendor & Client Liaison: Communicate with internal and external stakeholders on behalf of the VP. - Assist with office mail handling - Coordinate shipments, including: FedEx runs, company merchandise orders and deliveries, preparing and assembling company swag, merchandise, and gift boxes - Assist with ad hoc projects and carry out a wide range of personal and professional tasks as requested, including handling tasks as directed - Perform all other duties as assigned Qualifications - Experience: Minimum 3–5 years as an Executive Assistant or similar role, preferably supporting C-level executives. Skills - Excellent written and verbal English communication skills. - Strong organizational and time-management abilities. - Proficiency in Microsoft Office Suite, Google Workspace, and virtual collaboration tools (Teams, Zoom, Slack). - Proficiency in Excel Attributes - Detail-oriented, proactive, and resourceful. - Ability to work independently and manage competing priorities. - Preferred: Experience working remotely and familiarity with international business practices. You will be supporting the DHS CWMD Office in Washington, DC as an Executive Assistant. This position is partial telework with 1-2 days on-site at a minimum (or as otherwise directed by the government). As an executive assistant you will work with a team of other administrative staff across all directorates within the DHS CWMD Office and support Agency leaders with their important roles and complicated schedules. You will need to have expert understanding of Microsoft products and calendar management, SharePoint and MS Teams. You will need to have expert communication skills both written and oral as you will be interfacing across the organization and with other Senior leaders in the Government. Attention to detail is important as well as collaborative skills to work as a team to get the job done.
