Job Duties and Responsibilities - Order & Supply Chain Management - Manage the full order cycle: receiving customer POs, verifying specs/pricing, and placing orders with our Japan HQ. - Monitor and follow up on outstanding orders, shipments, payments, and related records. - Coordinate with logistics providers and the Japan team to ensure on-time delivery. - Prepare shipping documents (Invoices, PL, Shipping Instructions, etc.). - (Future) Assist in managing local inventory and logistics once stock is held in Australia. - Financial Administration & Bookkeeping - Maintain daily accounting records using Excel/systems. - Process payments, monitor cash flow, and follow up on accounts receivable. - Assist in preparing financial statements and performance reports for the parent company. - Customer Liaison & General Admin - Act as the primary point of contact for Australian customers regarding order status and invoicing. - Maintain proactive communication with customers throughout the process, from order receipt through delivery and payment confirmation. - Prepare internal reports and business documents for management and Japan Head Office as required. - Support general office administration and provide ad-hoc support to the management team. Required Qualifications - Strong sense of responsibility and commitment to accurate, high-quality work. - Exceptional attention to detail and accuracy in data entry and documentation. - Professional English communication skills (written and verbal). - High proficiency in MS Excel and Office suite. - Australian citizenship or permanent residency (unrestricted work rights required). Preferred Qualifications - Minimum 5 years' experience in accounting or bookkeeping. - Experience in international trade (import/export procedures and documentation). - Japanese language proficiency (Business level) to liaise with HQ. - Previous experience working within a Japanese corporate culture. We are seeking a Senior Grants Administrator to join our team and occupy a critical role in the financial management of the scientific portfolio of the CGM, and to support the overall CGM mission and activities. Receiving general direction from the Administrative Director, the incumbent will engage with the center’s Principal Investigators (PI) to develop grant submissions, manage financial transactions, perform budget forecasting, monitor fund statements, resolve accounting issues, and function as a liaison to grantor agencies and subcontracting institutions. The Grant Administrator will be partnered with specific PIs in the CGM and become acquainted with their teams and overall grant-related activities. PRINCIPAL DUTIES AND RESPONSIBILITIES: • Responsible for the overall full-cycle grants management for a large portfolio of CGM PI funds. o Coordinates grant proposal preparation and submission. o Prepares detailed budgets and justifications; prepares materials for financial reports. o Develops and monitors spending with PI’s including salary allocations and purchase commitments. Prebudget as necessary and allowed throughout the grant cycles. o Provides timely closeout of all expired projects through the coordination of fiscal and administrative resources throughout the system. • Designs, develops, and implements budgeting and forecasting tools to support and provide direction in decision making that helps effectively allocate resources in support of the Center’s strategic goals • Reviews, adjusts, and submits bi-annual Effort Certification Reports for the Center to ensure compliance with USG guidelines • Interacts with MGB Research Management and Research Finance staff in establishing and monitoring active funds and in terminating expired funds. Collaborate closely with Research Finance to resolve complex accounting issues. • Monitors expenditures and assures budgetary compliance; verifies, identifies, and evaluates excessive charges; analyzing cash flow to prevent deficit spending. • Stays current with all new and existing regulatory requirements and institutional policies/procedures, keeping PIs and departmental leadership informed of changes. • Works with Principal Investigators and Fellows to research and identify new sources of funding • Responsible for complying with MGB Finance practices, including policy and procedure compliance, benefits, and payroll changes. • Possesses a thorough understanding of current research related policies and procedures, guidelines, and standards for research entities.
