Talent Management Pod Assistant

• Send daily customized outbound brand outreach emails using templates and Affinity CRM • Execute systematic follow-ups every 2–3 business days for non-responders • Track and maintain brand and deal pipelines in Affinity (status, stages, communications) • Respond to inbound RFPs and brand inquiries in a timely manner • Build targeted brand outreach lists by vertical and category • Support contract workflows: redlining against the pod's guide, version tracking, and storage; coordinate with Greenroom (third-party legal) for final contract review • Manage and track brand campaign deliverables (content, demos, links) and confirm client and brand satisfaction post-deal • Assist with invoicing and deal documentation • Update CRM tools (Affinity, CreatorIQ, Airtable) with deal status and pipeline data • Manage scheduling for creator calls, brand meetings, and internal pod syncs • Inbox management: filtering, templated replies, and follow-ups as needed • Book and coordinate team and client travel and gifting • Support content calendar maintenance and upload scheduling • Attend daily pod stand-ups and take detailed meeting notes • Produce daily and weekly pod status reports • Provide ad hoc operational support as needed by pod leadership • Pull social media and content performance analytics as requested • Maintain creator profiles, internal rosters, and deal tracking sheets
Job Requirements

- Organized and process-driven — able to manage high-volume tasks without things falling through the cracks
- Comfortable with ambiguity and able to problem-solve independently
- Even temperament — not easily rattled when things go sideways
- Proficient with Google Workspace (Gmail, Docs, Sheets, Calendar)
- Familiarity with Affinity CRM, CreatorIQ, or Airtable
- Experience in talent management, influencer marketing, or the digital creator economy space
- Understanding of social media platform sponsorship (YouTube, Twitch, TikTok, etc.) and brand deal structures
- Experience supporting a high-volume outreach function (sales, partnerships, or similar)
