Bid Coordinator

Role Description The Bid Coordinator will support the company by assisting with the preparation, coordination, and production of bid submissions, capability statements, and related marketing collateral. This role will work closely with the Bid Marketing Manager and senior stakeholders to compile, format, and present information clearly and professionally using established content, templates, and design assets. The position is primarily a support role focused on coordination, document production, visual presentation, and submission quality. - Support the preparation and coordination of bids, capability statements, and related submission documents. - Compile and format proposal content using established templates, brand assets, and existing library collateral. - Prepare polished, professional, and well-structured bid documents using Adobe InDesign. - Support the assembly of graphical and written content into cohesive submission documents. - Work closely with the Bid Marketing Manager and relevant partners to produce accurate and timely submission materials. - Update and maintain reusable bid content, templates, resumes, project sheets, and supporting collateral. - Assist with coordinating internal inputs, graphics, and document components required for bid submissions. - Support layout, formatting, and presentation quality across bid and capability documents. - Prepare visual and graphic elements for submission packs where required. - Ensure documents are accurate, aligned, well-presented, and delivered within required timeframes. - Maintain organised files, version control, and document management practices across bid materials. - Support additional bid, marketing, and communications-related coordination tasks where required. - Other position-level duties as they arise. Qualifications - Bachelor’s degree in Marketing, Communications, Graphic Design, Business, Journalism, or a related discipline. - 3-5+ years’ experience in bid coordination, submissions support, marketing coordination, or a similar support role. - Strong Adobe InDesign capability is essential. - Experience preparing, formatting, and compiling professional documents using established templates and content libraries. - Strong layout, formatting, and document presentation skills. - Good written English communication skills, with the ability to support structured written content and document flow. - Experience supporting bids, proposals, capability statements, or marketing collateral is highly desirable. - Ability to work with standard library content and convert it into polished submission documents. - Strong organisational skills and ability to manage multiple deadlines and inputs. - Good attention to detail and commitment to document accuracy and presentation quality. - Ability to work effectively in a support capacity with bid, marketing, and senior project stakeholders. - Experience with graphics, basic visual communication, or document design is advantageous. - Experience in architecture, design, engineering, professional services, or a similar submissions environment is advantageous. - Portfolio or work samples demonstrating InDesign-based document production or bid/submissions work is highly desirable.
