Role Description As a PT Payroll Specialist, you will own the accuracy, compliance, and reliability of Carrot's payroll operations across a complex, multi-state, and international environment. This is not a background administrative role. It is a high-ownership position that sits at the center of how Carrot takes care of its people. You will ensure employees are paid correctly and on time — every time — while navigating the complexity of 40+ states, international employer-of-record partnerships, and a fast-moving, high-growth business. You will manage day-to-day payroll operations end-to-end and partner closely with People Operations, Total Rewards, and Finance to deliver a reliable, employee-friendly payroll experience. You will also serve as a trusted resource for employees and managers navigating complex pay questions, bringing both technical expertise and genuine care to every interaction. The right person will bring deep payroll expertise, sharp attention to detail, strong cross-functional instincts, and the ability to manage competing priorities with consistency and calm — all within a part-time schedule of 20–25 hours per week. Qualifications - 5+ years of hands-on payroll experience in a multistate environment, ideally across 40+ states, including full-cycle processing and reconciliations. - Experience managing international payroll in partnership with EOR providers. - Proficiency in ADP Workforce Now (WFN); experience with additional HRIS platforms is a plus. - Advanced Excel and Google Sheets skills, including working with large datasets for reconciliation and reporting. - Working knowledge of wage and hour, tax, and garnishment rules at the federal, state, and local levels. - Strong attention to detail and accuracy with numeric data, and a demonstrated ability to identify and resolve discrepancies. - Strong communication and customer service skills, with the ability to handle sensitive employee questions with discretion and empathy. - The ability to manage priorities effectively within a part-time schedule and maintain consistent availability during core payroll processing windows. Requirements - Own end-to-end payroll processing for assigned populations, including semi-monthly payroll for exempt employees and bi-weekly payroll for nonexempt employees across 40+ states in ADP Workforce Now. - Manage international payroll in partnership with employer-of-record (EOR) providers, and coordinate regular and off-cycle runs with Finance and vendors. - Administer time and attendance processes, ensuring accurate time capture, approvals, and imports into payroll systems, and partnering with leaders on timely corrections and policy adherence. - Manage garnishments, taxes, and other statutory requirements, ensuring timely calculations, filings, and remittances in collaboration with vendors and agencies. - Own multistate tax registrations and filings, including new state tax account setup, and ensure adherence to state, federal, and local payroll tax laws; reconcile and prepare W-2s and manage quarterly and year-end tax filings. - Process payroll changes related to leaves, retroactive pay, and expense reporting inputs, ensuring proper taxation and accounting treatment. - Provide tier 2 payroll support to employees and managers for complex pay questions, escalations, and issue resolution — documenting root causes and driving improvements to prevent recurrence. - Partner with Total Rewards on benefit deductions, 401(k) contributions, and Fidelity funding, bonuses, and equity activity, and serve as a key stakeholder in annual cycles including merit, bonus, and open enrollment. - Perform regular reconciliations and audits to ensure data integrity and support close processes. - Maintain and continuously improve process documentation and controls to support compliance and business continuity.
