• Managing complex executive calendars — scheduling, prioritizing, and protecting time across multiple time zones with precision and foresight. • Serving as the primary point of contact for internal teams, clients, and external partners, ensuring clear and timely communication on behalf of leadership. • Drafting, reviewing, and managing high-level correspondence — emails, memos, meeting agendas, briefing documents, and executive summaries. • Coordinating end-to-end domestic and international travel logistics, including itineraries, accommodations, and expense reporting. • Preparing presentations, reports, and supporting materials for key meetings, board sessions, and stakeholder communications. • Tracking action items, project deadlines, and follow-ups to ensure nothing falls through the cracks and leadership priorities stay on course. • Handling sensitive and confidential information with the utmost discretion, professionalism, and integrity at all times. • Identifying opportunities to streamline workflows, implement tools, and improve operational efficiency within the executive office.

Job Requirements

  • 3+ years of experience as an Executive Assistant, Personal Assistant, or Chief of Staff supporting C-suite or senior-level executives, preferably in a remote environment.
  • Advanced English fluency — both written and spoken — with exceptional grammar, professional tone, and the ability to represent leadership in all communications.
  • Strong command of productivity and collaboration tools such as Google Workspace (Gmail, Calendar, Docs, Drive), Microsoft Office Suite, Zoom, and Slack.
  • Proven ability to manage complex, shifting calendars and competing priorities across multiple time zones without missing a beat.
  • Exceptional attention to detail and organizational skills — you catch what others miss and stay five steps ahead.
  • High emotional intelligence and discretion when handling confidential information, sensitive situations, and executive-level relationships.
  • Strong written communication skills — able to draft polished correspondence, summarize information clearly, and tailor tone to different audiences.
  • Experience coordinating travel logistics, expense management, and vendor or third-party communications.
  • Bonus: familiarity with project management tools such as Asana, ClickUp, Notion, or Monday.com.
  • A proactive, self-directed professional with a high ownership mindset, strong follow-through, and the ability to thrive independently in a remote setup.
  • Awareness of how AI tools (ChatGPT, Notion AI, etc.) can enhance executive support workflows is a strong plus.
  • You need to be located in LATAM or EUROPE.
