• Work alongside the Division Manager to oversee the day-to-day operations of the bookkeeping team • Serve as a go-to resource for team members who encounter complex accounting situations, client-specific challenges, or workflow questions • Provide hands-on guidance and mentorship to bookkeepers who are struggling — stepping in to help problem-solve, not just redirect • Conduct regular check-ins with team members to monitor workload, quality, and morale • Identify skill gaps across the team and support development through coaching, training, and knowledge sharing • Help onboard new team members and ensure they are set up for success from day one • Manage a portfolio of assigned client accounts across multiple industries, delivering accurate and timely bookkeeping services • Perform core bookkeeping functions including transaction categorization, bank reconciliations, accounts payable and receivable, and month-end close • Prepare and deliver monthly financial reports and statements to assigned clients • Maintain clean, organized, and audit-ready client files and records • Communicate directly with clients to address questions, gather documentation, and provide financial updates • Review team members' work for accuracy, completeness, and compliance with client expectations and accounting standards • Catch and correct errors before they reach the client — your review is the last line of quality control • Establish and reinforce consistent standards for how work is documented, formatted, and delivered across the team • Flag recurring quality issues to the Division Manager and help develop solutions • Support the Division Manager in managing client assignments, team capacity, and workflow across the bookkeeping division • Help ensure all client deadlines are met and that no accounts fall behind due to bandwidth or complexity • Contribute to internal processes, templates, and documentation that help the team work more efficiently • Identify tools and workflow improvements and bring recommendations to leadership
Job Requirements
- 3+ years of hands-on bookkeeping or accounting experience, with strong command of core bookkeeping functions
- Prior experience managing, mentoring, or leading a small accounting or bookkeeping team
- Proven ability to manage multiple client accounts simultaneously with accuracy and consistency
- Proficiency in QuickBooks Online, Xero, or other commonly used accounting platforms — multi-software experience is a strong plus
- Strong working knowledge of GAAP and standard bookkeeping practices
- Excellent communication skills — you can explain accounting concepts clearly to both team members and non-finance clients
- High attention to detail and a genuine commitment to delivering clean, accurate work
- Self-directed and reliable — you manage your own time and your team's without needing to be micromanaged
