Operations Coordinator

Focal Systems

• Act as the point of contact for all contractor and third-party inquiries, ensuring clear communication and timely resolution of any issues. • Coordinate and support all planning activities related to store renovations, maintenance visits, and other operational activities. Ensure all tasks are completed on schedule and within budget. • Review and sign off on completed work, ensuring that all tasks meet company standards before final approval. • Manage administrative tasks including purchase orders (POs), invoicing, and related paperwork to ensure smooth financial operations. • Compile and distribute maintenance visit summaries, documenting key actions, progress, and any follow-up required. • Support the review and management of payroll, ensuring timely and accurate processing of hours worked, including expense submissions. • Oversee renovations for customer stores, ensuring all tasks are completed on time, within budget, and in compliance with company standards. • Generate and present regular reports on financial metrics, project progress, and operational KPIs.

Job Requirements

  • Proven experience in operations coordination, project management, or a related field.
  • Strong organisational skills with the ability to coordinate multiple tasks across various locations.
  • Excellent written and verbal communication skills, with a keen ability to interact effectively with contractors, vendors, and internal teams.
  • Experience in reviewing and signing off on work, ensuring quality and compliance with company standards.
  • Familiarity with administrative tasks including POs, invoicing, and payroll.
  • Proficiency in reporting tools, Google Workspace, and financial software.
  • Ability to work independently and manage tasks effectively with minimal supervision.
  • Strong attention to detail and problem-solving skills.
  • Ability to travel as needed for site visits and coordination.

We’re a growing SaaS company with startup energy, industry respect, and global reach. The Opportunity Over the last year, we’ve integrated AI agents into our DevOps workflows. We have working LLM pipelines for log triage and Terraform drafts, with a roadmap to expand into IAM auditing and self-healing systems. We are seeking a Manager of DevOps to serve as the "Right Hand" to the Director of Infrastructure. You will own the day-to-day execution of the DevOps roadmap and manage our 4–6 person engineering team, allowing the Director to focus on long-term strategy and cross-organizational platform work.
