Role Description We are looking for a Project Administrator to provide operational and administrative support across the project lifecycle, including financial, resource, and reporting activities. This position will be full-time and remote. This opportunity exists within CAI’s Neurodiverse Solutions business unit, all candidates in consideration of positions within CAI’s Neurodiverse Solutions must be able to self-disclose that they identify as neurodivergent. Only work authorizations that will not require sponsorship now or in the future will be considered. What You’ll Do - Execute operational activities across in-flight and pre-launch projects - Support project setup, organization, and lifecycle readiness from initiation through execution - Maintain project artifacts, documentation repositories, and delivery tools - Ensure creation and maintenance of resource allocations, grooming, and financial structures - Maintain project financial structures, including Work Breakdown Structures (WBS) and planning tools - Create, update, and track resource requests and planned hours - Manage unnamed demand and support demand grooming activities - Ensure financial data accuracy through consistent updates and validation - Generate and analyze Planned vs. Actuals (PvA) reporting - Identify variances, trends, and inconsistencies; provide recommended actions to PMs - Monitor dashboards and reporting tools to identify risks, issues, or misalignment - Support Resource Plan vs. Financial Plan analysis and reporting - Perform ongoing grooming activities to maintain resource and financial accuracy - Identify trends, recurring issues, and improvement opportunities - Collaborate with PMs to validate and execute corrective actions - Conduct follow-ups with project team members to resolve discrepancies - Coordinate project logistics including meetings, scheduling, and documentation - Capture meeting notes and maintain action-tracking for stakeholder sessions - Track approvals and maintain artifact repositories - Support change control processes by gathering financial and project data for PM review - Support new project setup activities, including repository creation and tool configuration - Ensure foundational project artifacts (status reporting, risk logs, resource plans) are established - Coordinate kickoff logistics and prepare draft materials - Support tracking of action items and project controls - Maintain and update risk, assumption, issue, and dependency tracking (CRAID) - Assist in preparation of governance materials and leadership reporting Qualifications - Bachelor’s degree in Business, Information Technology, Healthcare Administration, or related field (or equivalent experience) - Experience working in a professional business environment supporting teams, projects, or operational functions - Demonstrated ability to manage multiple priorities in a structured, deadline-driven environment - Strong organizational and time management skills, with the ability to maintain accuracy across multiple concurrent tasks - Effective written and verbal communication skills, with the ability to collaborate across teams and stakeholders - Proven attention to detail and ability to manage and maintain structured documentation or data - Ability to analyze information, identify trends, and support decision-making through clear, actionable insights - Proficiency in standard business tools (e.g., Microsoft Office suite) and ability to quickly learn new systems and processes Requirements - 1–3 years of experience in project coordination, PMO support, operations, or delivery support roles - Experience supporting PMOs within healthcare, insurance, or regulated industries - Exposure to project financial tools (e.g., Oracle or equivalent systems) - Experience with reporting and visualization tools (e.g., dashboards, Excel-based analysis) - Knowledge of project lifecycle management practices Benefits - Medical, dental, and vision insurance - 401k retirement account access - Paid sick leave and/or other paid time off as provided by applicable law Company Description CAI is a global services firm with over 9,000 associates worldwide and a yearly revenue of $1.3 billion+.
