Travel Operations Coordinator
Provato
• Assist travelers with reservations, itinerary changes, authorizations, and troubleshooting within the web-based TMS. • Support preparation and submission of expense reports, ensure required documentation, and coordinate resolution of audit exceptions. • Maintain traveler profiles, permissions, and data integrity within the TMS and integrated reimbursement systems. • Monitor compliance with travel policies, identify exceptions, and escalate non-adherence as required. • Collaborate with the Travel Program Manager and support desk to ensure seamless, end-to-end travel and reimbursement support.
Job Requirements
- Minimum of two (2) years of experience using travel booking tools and/or expense reimbursement systems (e.g., Concur or similar platforms).
- Experience supporting travelers with reservations, expense reporting, and issue resolution.
- Familiarity with travel policy compliance and exception management.
- Strong attention to detail and ability to manage multiple tasks in a deadline-driven environment.
- Excellent customer service and communication skills.
- Experience in a corporate or government travel environment preferred.
- Proficiency in web-based travel management systems and integrated financial platforms.
- Strong problem-solving and troubleshooting abilities.
- Ability to work collaboratively across operational and financial teams.
- Customer-focused approach with a commitment to service excellence.
- Bachelor’s Degree in Computer Science, IT, or related field. Master’s Degree preferred.
- SAP Concur or Travel certifications preferred.
- U.S. Citizenship is required.

• Coordinate travel arrangements for flight crew (air, hotel, ground transportation) in accordance with company policy and pilot schedules. • Monitor itineraries and adjust bookings as operational changes occur. • Issue travel confirmations and provide updates to crew and operations team. • Collect trip documentation (flight logs, per diems, receipts, ride invoices, etc.) from pilots and crew. • Review and process expense reports ensuring compliance with policy. • Identify missing documentation and follow-up with crew for completion. • Submit accurate trip close-outs to finance for final invoicing and payroll support. • Analyze fuel receipts and supplier invoices for accuracy against contracted rates and expected usage. • Investigate discrepancies in fuel billing; coordinate with vendors to resolve billing errors or exceptions. • Maintain fuel price records and trends to identify cost savings and irregularities. • Prepare routine reports on travel spend, fuel costs, and crew expense trends. • Provide insights and recommendations to reduce operational cost and improve process efficiency. • Serve as a primary point of contact for pilots regarding travel, expenses, and trip documentation. • Work closely with dispatch, crew scheduling, procurement, and accounting. • Communicate clearly with vendors and internal stakeholders about billing, travel changes, and operational needs.

• Visit each clinic at least every two weeks, acting as the primary point of contact for Partners and Lead Vets. • Support the cascade of key communications from the central team into clinics. • Help clinics run effective team meetings and maintain strong internal communication. • Support the smooth transfer of patients between hub & spoke clinics and referral centres. • Ensure complaints are logged and resolved within 15 days, liaising with the Head of Ops Admin when needed. • Escalate risks, issues and opportunities to the Network Partner or Network Director. • Coordinate recruitment activity, including organising interviews and supporting hiring managers. • Ensure new starters receive a high‑quality onboarding experience. • Build and maintain clinic rotas working closely with the Network Administrator, ensuring clinics remain fully covered and locum support is arranged when needed. • Review appointment availability and diary structure to ensure effective diary management. • Log and manage maintenance requests, ensuring timely resolution. • Approve invoices promptly and check them against purchase orders, supporting clinics with any issues. • Support stock takes approvals and manage aged IBDC request.
