Joint Executive Assistant
Aftershock Media Group
• Understanding and awareness of the Executive Leader’s needs & priorities to ensure daily operations run efficiently • Manage complex executive calendars, scheduling, and logistics within multiple time zones • Handle all communications with confidentiality and accuracy, ensuring that messages are redirected appropriately and communications are tracked accordingly • Provide support for meetings, including agenda prep, note-taking, and action item follow-up • Design and implement efficient office procedures, coordinating with the COO, and HR Manager as needed • Conduct light research, compile data, and support project briefings as needed • Arrange global travel logistics (flights, routes, accommodation, transportation). Some travel might be required if on-site support is needed • Support ad-hoc personal projects and priorities • Manage personal scheduling and time-sensitive requests
Job Requirements
- Considerable experience in senior administrative, executive support, or project management role in highly multifaceted high-touch, heavy-volume industry
- Strong written and verbal communication skills
- Productive and proactive mindset and ability to work both independently and collaboratively
- Ability to solve problems relating to time management or short timelines
- BONUS: Strong grasp or work experience in the gaming or influencer marketing industry
- BONUS: Experience with travel bookings
- Highly organized with exceptional attention to detail
- Organized and proficient in calendaring, communication and document management tools (G-Suite, Slack, Discord or similar)
- Professional, calm and collected in high-pressure situations while meeting deadlines
- Experienced and discrete when handling confidential information
- Team focused and willing to assist colleagues when needed
