• Generate and review Initial Closing Disclosure (ICD) documents for accuracy and completeness in accordance with company policies and regulatory requirements. • Ensure that the ICD is sent to the borrower at least three business days prior to closing, adhering to TRID (TILA-RESPA Integrated Disclosure) regulations. • Review loan terms, fees, taxes, and other financial data to ensure they are accurately reflected in the ICD. • Cross-check all loan documentation to ensure alignment with underwriting conditions and customer information. • Identify and resolve any discrepancies in loan documentation prior to issuing the ICD. • Stay up to date with federal and state mortgage regulations (including TRID) to ensure all disclosures meet legal standards. • Maintain detailed records of all issued ICDs and monitor timelines to ensure compliance with the three-day disclosure rule. • Work closely with loan officers, underwriters, processors, and closing coordinators to ensure all necessary data is collected and accurately reflected in the ICD. • Communicate with the loan origination team to address any borrower questions or concerns regarding the closing disclosure. • Conduct quality control checks on all ICDs before submission to ensure there are no errors or omissions. • Report any issues or trends regarding ICD errors or compliance risks to management for further review.

(Current CRM is Bonzo) - Comfortable picking up new tools and systems without slowing down. • Outreach & Communication - Warm calling — not cold outreach. You understand the difference and build rapport fast. - Professional, confident phone presence with the ability to represent the team well on every call
• Assist in lead generation and manage lead contact information, including adding and organizing contacts in CRM systems. • Manage calendar and scheduling, including appointments and follow-ups. • Conduct cold and warm calls to realtors for business partnerships and recruitment of new loan officers. • Respond to client, realtor, and partner messages via email, text, and social media channels. • Create and post marketing materials, including flyers, presentations, and other promotional content. • Update and maintain lead/contact tracker lists. • Upload and organize client documents in company systems such as Encompass. • Send and follow up on LinkedIn invitations and professional outreach. • Support basic content creation, including content calendars, graphics, and forms.
• Strategy and roadmap: Quarterly marketing planning, KPI tracking, and weekly reporting to US leadership. • Team leadership: Manage and develop two Marketing Coordinators. Run weekly standups, set priorities, remove blockers, conduct performance reviews. • Brand stewardship: Maintain the company's voice, visual identity, and quality bar across every asset. Approve all work before MLO or external delivery. • HubSpot ownership: Operate and continuously improve HubSpot for marketing automation, drip campaigns, MLO opt-in controls, and reporting. • Compliance workflow: Partner with the compliance consulting firm on every flyer, email, and campaign. Ensure all materials meet TRID, RESPA, UDAAP, and state-level requirements. • MLO satisfaction: Run the marketing intake process, hold the team to a 48-hour SLA, and gather feedback from the MLO advisory group monthly. • Content calendar: Own the rolling 90-day content calendar covering rate flyers, market updates, social content, realtor materials, and seasonal campaigns. • Process documentation: Maintain the team's playbook in Waybook including request workflows, brand guidelines, and Claude prompt templates. • Reporting: Monthly marketing performance reports including SLA compliance, drip metrics, MLO adoption, and asset production volume. • Quarterly planning: Build subsequent quarterly plans and budget requests from performance data

• Prepare and modify slide decks, reports, memos, letters, meeting agendas, and other documents, using word processing, spreadsheet, database, or presentation software. • Work closely and effectively with the Sr. HR Project Manager to keep them well informed of upcoming commitments and responsibilities, following up appropriately. • Assist the Sr. HR Project Manager with HR initiatives including calendaring, meeting agendas, meeting minutes and collecting update from team members. • Perform benefits related tasks including verification of dependents, processing COBRA, and following up with employees on missing documentation. • Perform customer service functions by answering basic employee requests and questions or triaging escalated issues to appropriate party. • Maintain confidentiality of all corporate, personnel, and research matters. • Support HR sub-functions in backup role; as well as, during audits and annual projects, as necessary. • Process changes for employees: collect, verify, upload and send to Payroll to update employee record. • Collect, verify and upload applicable documentation (social security card) for existing employee name changes, send to Payroll and update employee record(s). • Perform other duties as assigned.
