Legal Administration & Workflow Coordinator

• Manage, monitor, and maintain workflows, task lists, and deadlines across the practice using workflow systems such as Monday.com. • Coordinate calendars, meetings, and key priorities for fee earners to support efficient day-to-day practice operations. • Open new client files and complete client intake processes accurately and in a timely manner. • Monitor, triage, and allocate incoming emails and communications to ensure matters, requests, and actions are directed appropriately. • Draft, format, and prepare straightforward legal and administrative documents using firm templates and established processes. • Maintain accurate digital and physical filing systems, records, and matter documentation in accordance with practice standards. • Follow up fee earners and relevant stakeholders on tasks, outstanding actions, and workflow items to assist with matter progression. • Support the smooth flow of work across the practice by ensuring administrative and workflow tasks are completed accurately and on time. • Liaise professionally with clients, internal stakeholders, and third parties in relation to administrative and workflow matters. • Assist with document control, matter coordination, and general legal administration as required. • Support internal process improvement initiatives to strengthen workflow efficiency, organisation, and administrative consistency. • Provide light support across marketing-related activities where required, including podcast coordination, speaker scheduling, and follow-up tasks. • Other position-level duties as they arise.

Job Requirements

  • Associate’s degree or higher in Legal Studies, Business Administration, or a related field.
  • Proven experience in a senior legal administration, legal support, legal operations, or similar position within a legal practice environment.
  • Previous experience working in a law firm is required, ideally with exposure to estates and wills matters.
  • Minimum of 2 years’ experience in a legal administrative support role is preferred.
  • Strong proficiency in Microsoft Office Suite, particularly Word, Excel, Outlook, and document formatting tools.
  • Experience using cloud-based legal practice management, workflow, or task management systems such as Actionstep, Monday.com, or similar platforms.
  • Strong understanding of legal administrative processes, file opening procedures, matter coordination, and document management practices.
  • Ability to prepare, format, review, and manage straightforward legal and administrative documents with a high level of care and accuracy.
  • Excellent written and verbal communication skills, with the ability to communicate professionally with clients, colleagues, and external stakeholders.
  • Strong organisational and time management skills, with the ability to manage multiple tasks, priorities, and deadlines effectively.
  • High attention to detail and the ability to maintain accurate records, files, correspondence, and workflow tracking.
  • Ability to handle confidential and sensitive information with discretion and professionalism.
  • Proactive and dependable approach, with the ability to work independently and ensure workflow items continue progressing.
  • Familiarity with estates and wills terminology, documents, and practice processes will be highly regarded.
  • Exposure to light marketing coordination, podcast administration, or speaker scheduling would be advantageous.
