Loan Operations Coordinator

Role Description LoanBud is hiring a Loan Operations Coordinator to support our senior lending officers and help drive deals from initial borrower conversation through submission to lenders. This role is the operational backbone of the deal process. You will manage logistics, coordinate across multiple parties, ensure documentation is complete, and keep deals moving forward. This is a high-ownership, execution-focused role for someone who is extremely organized, detail-oriented, and relentless with follow-up. Key Responsibilities - Deal & Pipeline Coordination - Support lending officers in managing active deal pipelines - Track deal progress, next steps, and outstanding items across multiple deals - Ensure deals consistently move forward without delays - Borrower Communication & Follow-Up - Call, email, and text borrowers to follow up on missing documents and information - Clearly explain requirements and guide borrowers through next steps - Maintain consistent, proactive communication to keep deals progressing - Document Collection & Organization - Collect, organize, and manage borrower documentation (tax returns, financials, etc.) - Ensure all documents are complete, properly labeled, and stored accurately - Identify missing or inconsistent information and flag issues early - Lender Coordination & Submissions - Package and submit loan files to lenders - Coordinate with lenders on follow-ups, additional requests, and status updates - Track submissions and maintain clear communication with lending partners - Internal Coordination - Act as the bridge between lending officers, borrowers, lenders, and internal teams - Take information from borrower conversations and convert it into clear, actionable next steps - Ensure alignment across all parties on status and requirements - Scheduling & Logistics - Schedule calls, meetings, and follow-ups across multiple stakeholders - Manage calendars and ensure efficient coordination - Process & Organization - Maintain clean and accurate records in CRM and internal systems - Follow standardized processes and help improve workflows over time - Ensure consistency, accuracy, and completeness across all deal files Qualifications - Highly Organized & Detail-Oriented - Relentless with Follow-Up - Strong Communicator (Critical Requirement) - Proactive & Ownership-Oriented - Comfortable in a Fast-Paced Environment - Customer-Focused Mindset Requirements - 2–5 years in operations, loan processing, financial services, or administrative coordination roles - Fluent English (spoken and written) — must communicate clearly with U.S.-based clients - Strong phone, email, and messaging communication skills - High attention to detail and strong organizational ability - Ability to manage multiple deals and tasks simultaneously - Reliable internet connection and professional remote work setup - Availability during U.S. Eastern Time business hours (9 AM – 6 PM ET) Nice to Have - Experience in SBA lending, commercial lending, or mortgage processing - Familiarity with CRM systems and document management tools - Experience working with U.S.-based clients or teams - Experience in a fast-paced startup or sales-driven environment Benefits - Join LoanBud and play a critical role in helping entrepreneurs access the capital they need to grow. - Your work will directly impact deal speed, borrower experience, and successful loan outcomes—while advancing our mission to empower entrepreneurs to gain access to capital.

Role Description The primary responsibility of the Reimbursement Coordinator is to maximize reimbursement by compiling and submitting packets of appeals and medical records to insurance companies via payer portals, fax, and mail. The Coordinator will assist in following up on submissions to ensure receipt. The Coordinator will work with the CareDx Payer Dispute Resolution and Market Access teams to ensure CareDx receives broad coverage and appropriate reimbursement from contracted and non-contracted payers and government health plans. This role requires meticulous work and the ability to thrive in a fast-paced, high volume environment. This is a full-time position, Monday through Friday, with occasional overtime as needed. Candidates within commuting distance of the Brisbane, California office will need to come to the office on a regular basis; remote candidates will work and collaborate from home. Responsibilities: - Medical record and appeal packet submission: - Find relevant patient records in CareDx system and attach a cover letter or appeal letter. - Log in to a payer portal and accurately fulfill medical record requests or submit an appeal using the completed packet and completing any required portal information. - Work with patients when their assistance is needed in the appeal process, including obtaining appointments of representative (AORs) from patients. - Work professionally with Revenue Cycle teammates to be responsive to requests that require your assistance. - Medical Record and Appeal Follow-up: - Resolve aged medical record and appeal submissions without payer responses via payer portals & outbound phone calls. - Assist teammates with projects and denial work queue management. Qualifications - Education: High school diploma or equivalent. - Experience: 6-12 months’ experience in medical billing or medical records. - Typing speed of at least 50 words per minute. - Understanding of patient protections under HIPAA and proper handling of protected health information (PHI). - Working knowledge of health insurance and terminology. - Excellent communication and people skills. - Meticulous with strong analytical and problem-solving abilities in a high volume production environment.
