JOB SUMMARY As a Coordinator, you will provide essential administrative support to facilitate the smooth operation of the organization. You will perform a variety of tasks, including managing correspondence, scheduling appointments, organizing meetings, and handling administrative requests. Your strong organizational skills, attention to detail, and ability to multitask will contribute to the efficiency and effectiveness of the team and the overall success of the organization. JOB DESCRIPTION Recruitment Administration - Maintain accurate and up-to-date records of candidate information and recruitment activities in the applicant tracking system (ATS) - Generate reports and metrics to track recruitment KPIs and provide insights for process improvement - Assist in the development and optimization of recruitment policies, procedures, and documentation - Schedule interviews, arrange interview rooms, and ensure all logistical aspects are in place for a seamless interview experience - Generate and publish new job listings on Indeed and LinkedIn - Format candidate resumes into a presentation-ready format for clients Onboarding Support - Assist in the onboarding process for new hires, including paperwork completion, orientation scheduling, and coordinating with relevant departments - Collaborate with HR and hiring managers to ensure a smooth transition for new employees into the firm - Track and communicate consultant paid time off to ensure compliance Billing Assistance: - Produce WIP & AR Reports - Assist in Invoice Processing - Provide support for time entry and follow-up with consultants to ensure prompt payroll processing Admin Support: - Schedule management, including arranging meetings, appointments, and events - Communication facilitation within the team and with external parties - Document preparation, editing, and distribution - Data entry and maintenance of records - Handling inquiries and providing information to team members and clients - Miscellaneous administrative tasks to ensure smooth team operations Supervisory responsibilities - None Work environment - Work is conducted in a professional office environment with minimal distractions Physical demands - Prolonged periods of sitting at a desk and performing work in front of a computer screen for long periods of time - Must be able to lift up to 15 pounds at a time Travel required - Travel between offices is required Required education and experience - Bachelor’s degree in human resources, business administration, or a related field - Previous experience in recruitment coordination or HR administration - Familiarity with applicant tracking systems (ATS) and other recruitment tools - Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) Preferred education and experience - Professional services or accounting firm experience Other duties Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the colleague for this job.
