Project values generally range from $1.5M to $4M+ and require careful planning, accurate estimating, and strong coordination between consultants and trades. As our project pipeline continues to grow, we are seeking a highly capable Construction Administrator to join our team. This role will be a long-term full-time position integrated into our internal team. What You'll Do: You'll be the kind of person who: Contract Administration - Assist in preparing and managing construction contracts and subcontract agreements - Maintain accurate project documentation and contract records - Review subcontractor scopes of work and documentation - Ensure compliance with contractual requirements and project documentation Procurement & Trade Coordination - Assist with issuing trade packages and procurement documentation - Manage subcontractor documentation including insurances and compliance records - Assist in comparing subcontractor quotes and preparing tender comparisons - Support trade procurement and appointment processes Variations & Cost Tracking - Assist with pricing and preparing client variations - Maintain variation registers for each project - Track project costs against approved budgets - Assist in preparing financial reports for project performance Progress Claims & Payments - Assist with the preparation of progress claims to clients - Review subcontractor invoices and claims for payment - Assist in verifying work completed against subcontractor claims - Maintain payment tracking and documentation Project Administration - Maintain organised project files and documentation - Coordinate documentation between consultants, trades, and the project team - Assist with issuing site instructions and project communications - Support site supervisors and project managers with administrative requirements Requirements What You Bring: We're looking for someone who: Software Experience The ideal candidate will have experience using construction management software and project administration systems. Preferred experience includes: - Procore (highly desirable) - Buildertrend - Buildxact - Aconex or similar document management systems - Microsoft Excel - Microsoft Office Suite Experience with Procore would be ideal; however candidates with experience using similar construction project management software will also be considered. Australian Construction Experience (Critical Requirement) The candidate must have experience working within the Australian residential construction industry and demonstrate a strong understanding of: - Australian residential building contracts - Subcontractor management processes - Construction documentation and drawing sets - Construction progress claim processes - Variation management procedures - Construction project administration workflows Candidates who have previously worked for Australian residential builders or construction companies will be strongly preferred. Technical Knowledge Requirements The Construction Administrator should have familiarity with residential construction stages including: - Site establishment and preliminary works - Structural stages (base, frame, lock-up) - Internal fit-out stages (plaster, fix, joinery) - Finishing stages (completion and handover) They should also understand the typical construction sequencing and trade coordination required on Australian residential projects. Candidate Profile We are seeking someone who is: - Highly organised and detail-oriented - Strong with documentation and record keeping - Commercially aware and capable of understanding project budgets - Comfortable communicating with trades, consultants, and internal team members - Able to manage multiple projects simultaneously - Proactive and capable of identifying issues before they escalate The role requires someone who can work independently while remaining closely integrated with the project team.
