• Own and manage the CEO’s calendar, inbox, scheduling, meetings, and travel using AI scheduling and triage tools. • Deliver a daily morning briefing summarizing the day’s agenda, overnight email highlights, key priorities, and any items requiring the CEO’s direct attention. • Interact naturally with the CEO via text, voice memo, Teams, or email — capturing notes, dates, contacts, and action items from any channel and organizing them into a structured system. • Attend key meetings (live or via AI transcription tools), capture notes, track action items, and ensure follow-through. • Prioritize and filter communications to reduce noise and protect the CEO’s focus time. • Set up, manage, and continuously improve AI assistant tools (e.g., Lindy, Microsoft Copilot, Fireflies) to automate email triage, meeting prep, follow-ups, and task extraction. • Use AI tools to draft email replies, pre-meeting research briefs, and end-of-day summaries in the CEO’s voice and style. • Track priorities, deadlines, and commitments across tools — surfacing what matters without the CEO needing to ask. • Proactively research and recommend new AI tools, workflows, and automations that improve executive operations. • Develop a working understanding of Narwal’s business, operations, key clients, and growth priorities. • Act as a liaison for internal teams and external partners on behalf of the CEO. • Coordinate across sales, marketing, delivery, and HR to keep initiatives moving. • Support business development and client coordination activities with research and preparation. • Handle expense reporting, travel planning, and personal administration with discretion. • Coordinate complex travel arrangements including flights, hotels, ground transport, and itineraries (advanced). • Support presentation creation using Microsoft PowerPoint, Copilot, Claude.ai for meeting prep, client decks, and internal reviews (advanced). • Be the CEO’s trusted thought partner, someone who understands his work style, anticipates needs, and operates one step ahead. • Develop deep familiarity with Narwal’s clients, culture, and decision-making dynamics. • Protect the CEO’s time and energy by filtering distractions, solving problems independently, and knowing when to escalate vs. handle.

Job Requirements

  • At least 3 years of experience supporting C-level executives (EA, Chief of Staff, or similar roles).
  • Demonstrated experience using AI tools in a professional setting (e.g., ChatGPT, Microsoft Copilot, Claude.ai, Zapier, or similar).
  • Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint), etc.
  • Strong written and spoken English — able to draft professional communications in the CEO’s voice.
  • Proven ability to learn new tools and workflows independently and quickly.
  • Experience with AI-powered executive assistant platforms.
  • Familiarity with automation tools (Zapier, Make/Integromat, Power Automate).
  • Exposure to professional services, IT services, or fast-paced startup environments.
  • Experience creating presentations using PowerPoint and/or Copilot.

THE ROLE We are seeking a highly proactive, detail‑oriented Executive Assistant to provide dedicated support to our Chief Product Officer (CPO) and the broader Product Organization. This role is critical in ensuring seamless operations, effective communication, and strong organizational alignment across the global Product function. The Executive Assistant will handle complex scheduling, cross‑functional coordination, confidential information, and operational processes that enable the CPO and Product leadership team to focus on strategic priorities.
