Operations Specialist
AstroLabs
• Manage Service Delivery & Operational Excellence • Execute HR, PRO, and GRO services for clients such as visa processing, employee registration, insurance issuance, certificate renewals, and residency management • Maintain exceptional accuracy and timeliness in all assigned tasks and services • Keep all systems and trackers (ClickUp, internal CRMs, Excel sheets, etc.) updated with at least 95% accuracy • Execute services through government platforms such as QIWA, GOSI, Muqeem, and Mudad, ensuring compliance and operational efficiency • Liaise with government entities (MISA, MC, MOFA, Chamber of Commerce, etc.) online and in person when required • Maintain and enhance documentation, SOPs, and process checklists to ensure consistency, efficiency, and scalability • Log working hours in relevant tracking systems and maintain an optimal utilization rate • Ensure all deliverables and updates are recorded systematically for reporting and compliance purposes • Troubleshoot operational bottlenecks or delays and coordinate solutions within your scope of work • Stay updated on evolving regulations and adapt workflows accordingly • Share learnings and updates with peers to foster a culture of continuous improvement • Participate in internal trainings to strengthen technical knowledge and professional maturity • Uphold AstroLabs’ standards of integrity and professionalism in all interactions with internal teams and external partners.
Job Requirements
- Strong understanding of HR, PRO, and GRO processes in Saudi Arabia
- Skilled in using government portals such as QIWA, GOSI, Mudad, Muqeem, and similar systems
- Excellent attention to detail, organization, and time management
- Proficiency in Microsoft Office (especially Excel) and CRM tools
- Strong written and verbal communication skills in Arabic and English.
