Proposal Coordinator

• Support the proposal managers through coordinating the proposal development process. • Support the creation of RFIs/SSNs, task orders, IDIQ proposals, Rough Order of Magnitude (ROM) requests, and other stand-alone proposals that may range from $5M-$150M in value • Ensure adherence to proposal development preparation guidelines, processes, methodologies, and associated business tools • Analyze requirements and ensures that proposals meet requirements by creating and maintaining compliance matrix documents. • Edit, standardize, proofread, or make updates to material prepared by other writers; eliminates inconsistencies in format or voice, typos, and grammatical and spelling mistakes • Build proposal outlines, creates folder structures, maintains proposal log, trackers, and oversees creation of proposal templates • Develop effective methods for presenting and organizing information within proposals, such as the use of tables and graphics • Coordinate proposal layout and outlines with SMEs and technical writers • Maintains records and files of work and revisions • Organize and attends proposal kickoff, drumbeat, color review, and gate review meetings • Assist with the production, reproduction, and binding/packaging of draft proposals, final proposals, and all hard/soft copies • Organize material and completes writing assignments according to set standards regarding order, clarity, conciseness, style, and terminology • Ensure proposals are delivered on time and in compliance with all RFP requirements • Performs other duties as required. • Regular and reliable attendance on a full time basis [or in accordance with posted schedule]. • Responsible for exhibiting professional behavior with both internal and external business associates that reflects positively on the company and is consistent with the company's policies and practices. • Embodies AEVEX’s cultural values and aligns daily actions with department goals and company culture.

Primary Responsibilities: The ideal candidate must be able to independently manage complex proposals to include: - Effectively manage the full lifecycle of the RFP, inclusive of the PMP, kickoff meeting, writers assignments and calls, scheduling, proposal structure, compliance, coordination of all response templates, and review cycle coordination, color team reviews, formatting/editing, production, etc. - Analyze RFP documents and ensure the proposal structure complies with the RFP requirements - Track and report the status of all the proposal elements during writings call - Facilitate draft reviews and debriefs (pink/red team, debrief and recovery) - Establish and enforce the proposal schedule and update as needed - Remain current on all solicitation amendments and communicate them to the team - Ensure proposal compliance, checking all the section templates for compliance regularly through the proposal cycle - Anticipate potential trouble areas and work with the capture team to provide solution as they arise - Collaborate with various stakeholders, including capture manager, subject matter experts, production team, contracts, finance, legal and sales - Participate with and contribute to process development (Coaching sessions, storyboards, etc.) - Create a proposal management plan that includes all RFP sections and a calendar with all deadlines - Communicates and coordinates with Capture Manager to understand client strategy and associated win themes, overall story, features and benefits of the proposed solution - Help lead and facilitate coaching session/storyboard calls to include client strategy, themes, and discriminators are reflected in the writing plan - Manage question submission to the government in coordination with legal team - Communicates and coordinates subcontractors involved with the proposal writing and data calls as needed - Set up meetings and schedules; record and distribute meeting minutes; record, distribute, and maintain action items; and prepare all documentation independently - Assemble the original documentations, which are used to print the reproduction of the proposal, qualifications document, and/or presentation materials - Create, gather, and organize information from many sources; transmit data to appropriate support group; and ensure the timeliness and compliance of the final product - Track and report the status of all proposal sections - Excellent communication skills (oral and written), time management, such as Collaborate with various stakeholders, including, capture manager, subject matter experts, production team, contracts, finance, legal and sales - Experienced in taking initiative proactively, such as staying current on all solicitation amendments and communicating them to the team - Ability to prioritize effectively/efficiently, such as enforcing the proposal schedule and update as needed - Adept reading comprehension skills and ability to ensure proposal compliance, checking all the section templates for compliance regularly through the proposal cycle - Experience in and ability to prepare documentation for kickoff shortly after RFP release - Experience creating a proposal management plan that includes all RFP sections and a calendar with all deadlines - Experience in applying a style guide and advanced word formatting. Required Qualifications: - 7+ years of proposal management experience with State Government Proposals - Demonstrated experience in and ability to manage the proposal schedule and tasks within from start to finish, including but not limited to scheduling kickoff meetings, writers calls, writers assignments, proposal structure, coordination of response templates, review cycle coordination such as color team reviews and whiteglove - Experience in scoping work; able to prioritize assignments and accurately assess time needed for and draft reviews and debriefs (pink/red team, debrief and recovery) - Demonstrated advanced levels of experience in Microsoft Office Suite (Word, PowerPoint, Excel, SharePoint, etc.), and Adobe Acrobat and MS Teams - Proven ability to quickly analyze and understand complex State RFP documents and ensure the proposal structure complies with the RFP requirements and mapping requirements and/or documents - Demonstrated ability to comfortably create templates/edit templates, create a PMP in Excel for tracking purposes and create PowerPoint slides for various instructions and working within Teams and Sharepoint) - Proven effective in team collaboration, such as facilitate coaching session/storyboard calls to include client strategy, themes, and discriminators are reflected in the writing plan Preferred Qualifications: - Shipley Certification - APMP Certification - Ability to work in a deadline driven environment *All employees working remotely will be required to adhere to UnitedHealth Group’s Telecommuter Policy Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements).
