Payroll Specialist Lead

Remote

• Execute end-to-end payroll operations for the US payroll environment, ensuring accuracy, timeliness, and compliance with federal, state, and local regulations. • Validate payroll inputs, calculations, and outputs, maintaining data integrity across all payroll cycles. • Manage payroll-related exceptions, adjustments, and reconciliations, escalating complex issues when necessary. • Support the operational implementation of payroll processes, including system updates, statutory changes, and new program rollouts. • Serve as a point of contact for internal teams and relevant external stakeholders regarding payroll execution and compliance. • Identify opportunities to improve payroll processes, documentation, and operational workflows. • Participate in testing payroll system enhancements and updates to ensure operational readiness. • Provide support and guidance to other payroll specialists when needed to maintain continuity and quality of payroll delivery. • Monitor and contribute to payroll performance metrics, including SLAs and KPIs.

Job Requirements

  • Proven experience in end-to-end payroll execution within the US payroll or similar environment, including payroll validations, reconciliations, and statutory filings.
  • Strong knowledge of US federal, state, and local payroll regulations and payroll best practices.
  • Experience in implementing payroll processes or contributing to operational rollouts.
  • Strong analytical skills, with the ability to identify issues, interpret data, and resolve exceptions accurately.
  • Proficiency in payroll systems and ability to quickly learn new operational tools; experience with automation or AI-assisted workflows is a plus.
  • Comfortable operating independently in a remote-first, asynchronous work environment.
  • Collaborative mindset and strong communication skills for partnering with internal teams and external stakeholders.
  • Highly organized, detail-oriented, and able to manage multiple payroll cycles and deadlines effectively.
  • Experience with multi-country payroll is a plus, but not required for this US-focused role.
  • High integrity and discretion when handling sensitive payroll information.

Job Summary: The Implementation Specialist is responsible for leading implementations for both new customers and existing customers adopting new products through the critical transition from sales to a "live" environment. This role is a hybrid of project management, technical consulting, and relationship building. You will be responsible for translating complex technical requirements into actionable launch plans, managing multiple competing timelines, and ensuring that our merchants—and their staff—feel empowered to use Silverware to its full potential from day one. Primary Responsibilities: - End-to-End Launch Management: Own the entire customer onboarding lifecycle—from initial kickoff and technical configuration to on-site installation and go-live—ensuring all technical milestones and operational goals are met. - On-Site Deployment & Operational Support: Lead on-site implementation, staff training, and "Go-Live" support for merchants across North America. This includes performing pre-install site inspections and providing high-touch coverage—both on-site and remote—to ensure a flawless transition to the Silverware platform. - Strategic Relationship & Escalation Management: Build and maintain high-trust relationships with stakeholders at all organizational levels. Serve as the primary advocate and point of contact during the implementation and critical post-installation phases, proactively managing concerns and resolving escalations to ensure a successful partnership. - Time-to-Value Optimization: Actively drive efficiency throughout the onboarding lifecycle to reduce the merchant's "time-to-value," ensuring a swift and successful transition from contract signature to go-live. - Technical Translation: Work closely with the engineering and supports teams to translate unique merchant requests into workable solutions, effectively communicating technical details to users in layman’s terms. - Strategic Problem Solving: Identify potential "friction points" in the onboarding process and creatively solve customer needs through alternative solutions or process improvements. - Training & Knowledge Management: Lead virtual and in-person training sessions to educate staff on front-end and back-end system functionality. Create and maintain user guides and internal documentation to improve the customer experience. - Operational Excellence: Maintain detailed checklists and accurate records to ensure repeatable success. Manage calendars and resources effectively to balance competing launch schedules. Minimum Qualifications: - Bachelor's degree with major course work in Management Information Systems, Decision Sciences, or equivalent experience is required. - Willingness and ability to travel up to 75% for on-site launches. - Demonstrated experience in a customer-facing role involving project management or technical onboarding. - Strong proficiency with Microsoft Apps and project management tools. - Ability to work independently and operate effectively in a fast-paced environment. - Must be willing to work flexible hours, including evenings or weekends, as required by specific project launch schedules. - Nice to Have: *GM or leadership experience in a hospitality/restaurant setting. - Nice to Have: *Experience working in the craft brewing industry. - Nice to Have: *Previous experience managing or using Silverware POS or other POS - Nice to Have: *Familiarity with HTML/CSS or web development basics. This will include: - Providing support to clients after they ‘go-live’ by walking them through updates needed or how to troubleshoot in a variety of ways, such as award interpretation and platform configuration. - Responding to and resolving customer tickets, calls and queries related to the Employment Hero Platform in a timely manner. - Assisting and collaborating with the wider squad and support team to provide best practice system use and education to all our customers. - Proactively analysing and understanding product functionality across the platform and logic in detail; and testing in platforms to identify user error/system logic and related root causes by maintaining comprehensive awareness of product changes and enhancements. - Conducting/triaging customer support issues and assigning to the appropriate team or resolving where possible. - Taking on client and team payroll escalations for our customers. - Assisting with requirements gathering to run post mortems and run internal support team workshops. - Escalating issues related to bugs or product logic/functionality concerns as necessary, in collaboration with Seniors/Team Leads and the Product Team. - Working with customers across multiple channels (email, chat, phone, screen share) to understand their organisational workflow and how the platform can support them to maximise their people processes. - Managing Problem Tickets with urgency and collaborating with key stakeholders to resolve as quickly as possible. - Leveraging ZenDesk, Salesforce and other internal tools for maintaining records, ticket investigations and referencing customer interactions, transactions, comments, and complaints in accordance with service level agreements (SLAs). - Proactively contributing feature requests, Customer Care Processes, Macros and Help Centre suggestions, where warranted and using customer insights. Qualifications - Relevant Australian and/or New Zealand Payroll knowledge and industry experience. - Previous experience in setting up, implementing and/or administrating payroll systems (knowledge of EH Payroll/KeyPay is a plus!). - Exposure to working in fluid, high change and high velocity environments. - Prior exposure to customer experience within a SaaS (Software as a Service) environment. - An attitude that always puts your customer’s needs first. - Problem solving skills with a sound and thorough approach to troubleshooting. - Ability to manage competing priorities, working autonomously; requesting assistance where needed. - Strong and polished verbal and written communication skills.
